What are the responsibilities and job description for the Operations Assistant position at Prime Management LLC?
FUNCTION: The Operations Assistant plays a critical role in supporting the daily functions of our corporate housing operations. This position is responsible for managing accounts payable, coordinating housekeeping services, maintaining utility accounts, overseeing furniture and housewares logistics, and assisting with various administrative tasks to ensure smooth business operations.
REPORTS TO: Chief Operations Officer
RESPONSIBILITIES: (Including, but not limited to)
Accounts Payable & Financial Tracking:
Process, pay, and record all invoices in RealPage and Google Docs.
Manage utility payments and accounts, including NYSEG, National Grid, RG&E, National Fuel, ConService, DirecTV, Spectrum, Verizon, and Optimum.
Process and track property rent payments in RealPage and update the Rent to Properties document.
Complete credit card reconciliations for all PCA credit cards.
Maintain an exposure tracking document for unit-specific expenses.
Utility & Maintenance Coordination:
Start and stop utility and Wi-Fi services for CORE and SET UP units.
Create a Hotel Comp Sheet by the first of each month.
Submit and monitor maintenance requests through RealPage and coordinate with the operations team.
Housekeeping Coordination:
Coordinate housekeeping services for individual clients and properties.
Maintain stock of housekeeping supplies and prepare weekly supply orders.
Prepare and manage the weekly housekeeping schedule.
Furniture & Housewares Logistics:
Coordinate unit deliveries and pickups with moving and storage teams.
PCA Van Management:
Conduct a monthly inspection with Field Technician and submit reports to Prime HQ.
Schedule vehicle maintenance and services as needed.
Administrative & Reporting Tasks:
Prepare a move-in/move-out list to align with Operations, Sales, and Housekeeping.
Maintain the housekeeping column in the Occupancy Report.
Create monthly credit card billing statements for Chief Operations Officer.
Review reservations for accurate invoicing, send invoices as needed, and enter Zenya invoices into RealPage three times per month.
Other Duties:
Perform any other reasonable tasks assigned by management to support business operations.
Qualifications & Skills:
High School or GED required
Strong organizational and multitasking abilities.
Experience with RealPage or similar property management software is preferred.
Basic financial knowledge, including invoice processing and credit card reconciliations.
Proficiency in Google Docs, Excel, and data entry.
Strong communication and problem-solving skills.
Ability to work independently and collaboratively within a team.
