About this Position
Assist in the coordination, planning and execution of corporate field force meetings, conventions and incentive trips. Executes specific aspects of an event (room block management, air, group transportation, decor, entertainment, gifts, event seating, VIP special handling). Responsible for registration website development, on-site registration management, accounting / billing, DMC staffing and other special event planning. Interacts with team members, senior management, communications, distribution and various other departments to insure all aspects of meeting are coordinated properly. Manages services with outside vendors (hotels, Convention Centers, DMC, etc.). On-site, assist in executing all aspects of event, providing directional needs to hotel, DMC, and other personnel involved in executing event. Validates event invoices and prepares for payment.
Estimated salary range for this role is : 60-65K
Responsibilities & Qualifications
JOB DUTIES & RESPONSIBILITIES
Assist with planning and implementation of corporate field force events
- Assist in the coordination of hotel staff, room block, food and beverage / menus, space allotment, ballroom experience, décor and entertainment, and other aspects of event).
- Coordinate vendors to achieve best experience (DMC, entertainment, Air and Ground Transportation, CVent, etc).
- Develop print materials associated with incentive trip.
- Prepare email communication to qualifier with registration information.
- Create registration reporting and provide to senior management.
- Assist with implementation of flight rules and dollars limits with Travel Company.
- Monitor selected flights and communicate with traveler regarding flight approval and options.
- Prepare general session seating.
- Validate event invoices and request approval and payment.
Develop, test and implement registration websites
Assist with contract process.
Maintain Event Budgets
Develop and Maintain Outside Vendors relationships
Interact with other Departments for meeting aspects and coordination
