About This Position
The Program and Events Coordinator is responsible for developing, coordinating, and implementing a wide variety of company programs and events, including community service activities. The coordinator will represent the company at offsite events and speak on behalf of the organization when necessary. A service-oriented approach is essential for addressing audience needs and delivering impactful solutions. The position also involves writing, promoting, and marketing all events using email, intranet, and software applications. The coordinator will work closely with vendors, community organizations, and internal departments to build relationships and secure resources for event planning and project execution. Additional responsibilities include assisting with budget management, conducting new hire orientations, and collaborating with other team members.
The salary range for this role is 60-75k

Responsibilities & Qualifications
- Employee Engagement and Event Coordination:
- Program Development: Develops, coordinates, and executes programs and events to engage employees throughout the year, maintaining a consistent level of activity.
- Creative Campaigns: Designs impactful graphic and video campaigns to boost company engagement, including support to the Employee Resource Group initiatives and commemorative months.
- Event Planning: Manages all aspects of event planning (securing dates, locations, logistics, communications), from conception to execution, for major events and initiatives.
- Team Leadership: Provides direction to the HR engagement support staff, ensuring smooth event operations.
- Event Evaluation: Gathers feedback from employees to measure event success and suggests improvements.
- Community Service and Volunteer Engagement:
- Volunteer Programs: Coordinates community service events and volunteer activities aligned with the company’s values and philanthropic mission.
- Community Partnerships: Develops and nurtures relationships with local organizations and community partners for event collaboration and exposure.
- Volunteer Recruitment: Encourages employee participation in volunteer efforts through persuasive and engaging communication methods.
- Vendor Management:
- Vendor Relationships: Develops partnerships with community vendors and non-profit organizations for event support, including health fairs, flu shots, etc.
- Negotiation and Contracts: Researches and negotiates contracts with vendors to secure event needs (e.g. holiday decorations).
- Communication and Media:
- Internal Communications: Writes and sends effective communications of company events and engagement activities through internal platforms such as intranet, company TVs and emails.
- Content Creation: Assists with the creation and distribution of company-wide communications to keep employees informed of business-related matters.
- Social Media: Collaborates with Social Media team on events and awards to post on their channels.
- Administrative:
- Documentation and Reporting: Prepares proposals for company events, submits expense reports, and tracks event-related financials.
- Payroll: Works with payroll to ensure accurate documentation for any taxation requirements tied to employee gifts, year-end celebrations, or other benefits.
- Bachelor's degree or 2 years of professional-level work experience in event planning or related fields required.
- Proven experience in event planning or related fields.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Graphic design and video creation skills are a plus.
- Ability to build and maintain relationships with internal teams and external partners.
- Experience using communication tools (e.g., intranet, company TVs).
- Comfortable with budgeting and managing event-related expenses.
- Ability to adapt quickly in a fast-paced environment.
