Job Description
The Plant Administrative Assistant schedules the employees we need to efficiently run our facility. It is also a critical role in ensuring that our employees pay, time-off and absences are accurate as well as enforcing our policies fairly, consistently and as transparently as possible so that we can all focus on doing our jobs to the best of our abilities.
Factory Location: Hollis, ME
Compensation: $27.49 / hour
Shift differential: 6%-8% of base hourly rate paid for applicable hours worked
Schedule: Monday - Friday, 8:00 am - 4:30 pm - adjustable

Responsibilities
- Creating the plant schedule for all employees based on production and shipping demand, ensuring that we are always properly staffed.
- Tracking and monitoring employee hours, time-off, and absences for accuracy and confirming that all employees, including leaders, are consistently following plan policies.
- Making the scheduling, vacation and overtime process as organized, transparent, and available with as much notice as possible, so that we can do the things we like outside of work.
- Manage employee staffing matrix and coordinate with department leaders to ensure we hire the correct number of employees with the right skills.
- New employee training and creating the best onboarding experience.
- Maintain confidentiality of employee records and personal information.
- Many administrative, clerical, and front office tasks, including visitor reception.
- Coordination and planning of company events for our employees or the community.
- All other duties as assigned.
Qualifications
- High school diploma, GED or equivalent experience
- Minimum two years’ experience in production manufacturing preferred
- Strong knowledge of Microsoft applications, SAP experience preferred
- Ability to work self-directed and with a team
- Ability to work well as a team and anticipate other’s needs to help where able
- Solid communication and interpersonal skills
- Focus on safe work practices while executing duties with a sense of urgency
- Trusted employee with highest level of integrity and respect
- Excel wizardry and a high level of organization is necessary for success in this role
- Extremely accurate with details and paperwork so that pay and time-off is always correct
- Ability to enforce plant policies with all employees, including leaders, in a respectful, constructive manner
- Ability to handle sensitive employee situations with confidentiality and professionalism
- Ability to prioritize work based on facility needs and be productive under high work loads
- Ability to modify work schedule to meet facility needs around important deadlines, such as pay-period close
