What are the responsibilities and job description for the Secretary/Student Attendance Clerk position at Prince Edward County Public Schools?
- Registers new students for the upcoming school year. Reviews data on previous students enrolled in school. Updates demographic data in computer database.
- Places students with the upcoming school year teacher/classroom (this information should be given to clerk from the administration).
- Prepares open house letters for students based on grade and teacher, once school administration has developed the letter.
- Prepares kindergarten name tags for open house.
- Prepares an alphabetical listing and class listing available for all staff to use for school opening.
- Registers and withdraws students and notifies the transportation department.
- Contacts schools regarding students who register with our division so that accurate information is recorded, including special education students that needs a copy of the IEP for proper placement.
- Copies and mails student records upon request.
- Maintains all records in the student information system up to date.
- Submits enrollment figures to the principal and superintendent during the first two weeks and the first month of school.
- Records and upkeeps student attendance data on a daily basis.
- Prepares attendance letters to parents for students with three and five unverified absences. Emails list of students with six unverified absences to attendance coordinator.
- Makes class changes as directed by school administration. Updates and distributes attendance rosters based on changes during the school year.
- Prepares listing of the Honor Roll for submission to newspapers.
- Operates standard office equipment to include word-processing, data processing, copiers, laminators, etc.
- Keeps on file all attendance data and prepares attendance summary.
- Contacts parents by phone or in writing regarding pupil absenteeism and truancy.
- Complies with and supports school and division regulations and policies.

FLSA Status: Nonexempt
Summary: Performs secretarial duties to accurately record data regarding pupil attendance and enrollment

EDUCATION and/or EXPERIENCE
1. Holds an Associate Degree with professional secretarial coursework and three years of experience
2. Has knowledge of personal computer applications including word processing, spreadsheets, graphics, etc.
3. Has ability to interpret and apply procedures in designing databases
4. Uses effective oral and written communication
5. Possesses the professional and personal characteristics necessary for working effectively with school personnel and the community
