The Prince George's County Police Department is currently seeking qualified applicants to fill a vacant Executive Administrative Aide , Grade P21, in the Office of the Chief.

About the Position

This is the highest level of responsible secretarial and administrative support work. The incumbent works directly for the Assistance Chief of Police and Chief of Police when required. Work assignments require a comprehensive knowledge of Personnel Law, departmental rules, regulations, and ordinances; the ability to communicate well with others; and a high degree of independent judgement action, and initiative.

Examples of Work

  • Provides direct administrative support to the Assistant Chief of Police and Chief of Police.
  • Responds to inquiries made of the Assistant Chief of Police and Assistant Chief of Police.
  • Uses computers routinely to prepare reports, letters, forms, and other communication according to the office's standard operating procedures and General Orders.
  • Serves as liaison for the Assistant Chief on matters pertaining to meetings, work assignments, timelines, and telephone inquiries.
  • Coordinates work of support staff in connection with special projects and assignments.
  • Handles procurement of supplies and travel arrangements for the Office of the Assistant Chief.
  • Prepares payroll for employees within the Office of the Assistant Chief.
  • Ensures the completion of Bureau's Performance Evaluations.
  • Coordinates the Assistant Chief's attendance at meetings / events.
  • Develops agenda for meetings and independently composes invitations prior to finalizing meetings.
  • Researches and gathers necessary documentation, history, and travel directions to assist Assistant Chief in preparing for meetings.
  • Conducts research to obtain information, analyses, and statistics for the Assistant Chief to reference prior to meetings or for responding to inquiries as requested.
  • Acts as the public's liaison in coordinating government services and resources for resolving issues that are presented to the Office of the Assistant Chief.
  • Performs other assignments that may not be specifically listed in the position description, but which are within the general occupational category and responsibility level associated with this class of work.

Qualifications

  • Must have experience at the Administrative Aide IV level as a Prince George's County merit employee equal to the length of the probationary period of one (1) year
  • Associates degree in Business Administration or Secretarial Science
  • Three (3) years of senior level secretarial / administrative experience which involved working with the public, office management and operational details, and staff supervision
  • An equivalent combination of education and experience which provides the required knowledges, skills, and abilities may be considered.

    Preferred Qualifications :

  • Comprehensive knowledge of the approved principles, practices, and procedures of modern police administration.
  • Thorough knowledge of pertinent Federal, State and County laws and ordinances and departmental rules and regulations.
  • Ability to plan, organize and supervise the work activities of a large number of subordinates.
  • Ability to establish and maintain effective working relationships with other County officials, State and Federal authorities, civic leaders, and the general public.
  • Ability to prepare comprehensive activity reports, work programs, budget estimates and other regular and special reports.
  • Ability to communicate effectively both orally and in writing.

  • Applicants who meet minimum qualifications must take and pass an administered Administrative Aide exam. Please Note - Effective August 1, 2024, a new exam for the role of Administrative Aide was launched and all candidates must complete this exam to be considered for this opportunity. Applicants who have previously taken the exam on or after August 1, 2024, and passed, will not be required to re-test.
  • Possess and maintain a valid driver's license.
  • Pass a thorough background investigation conducted by the Prince George's County, Office of Human Resources Management, Public Safety Investigations Division.
  • Pass a drug screening.
  • Be willing to work shift work to include (day / evening / midnights), weekends, and holidays.
  • This is an essential position. Essential employees are expected to report during standard or non-standard hours as operations necessitate. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave.
  • Meet all training and performance standards and demonstrate proficiency as required by the agency.
  • Wear and use agency protective apparel and equipment in the performance of their assigned duties, if applicable.
  • Accountability Statement :

    The incumbent must meet and maintain the training standards set forth by the Prince George's County Police Department. The incumbent shall not disseminate information, administrative or operational, unless expressly authorized.     General Plan Information :

    The Prince George's County benefits plan year is from January 1 to December 31.

    A spouse (to include a same sex spouse) can be added to the health benefit plans. A marriage certificate and social security number is required to add a spouse.

    Children under the age of 26 are eligible for coverage under the health benefit plans. This includes stepchildren and children of the same-sex spouse. A birth certificate(s) and social security number(s) is required to add a child(ren). You will also need to submit the birth certificate of the child(ren) and your spouse must be listed as a parent.

    The premiums for health benefits are deducted on a pre-tax basis with the exception of Long-Term Disability, Extra Life Insurance and Voluntary Benefits (Short-Term Disability, Whole Life Insurance, Critical Illness, Accident Insurance, Cancer Indemnity, Hospital Indemnity Protection, Accident Indemnity Plan, Supplemental Dental and Group Legal Services).

    New employees must enroll in the County's health benefit plans within thirty (30) days of the hire date.

    The effective date of the health benefits coverage is the beginning of the month following a waiting period of forty-five (45) days from the date of hire.

    After enrolling in the County's benefit plans, employees may only make changes to the plans either during the open enrollment period, which occurs annually (usually each October), and / or during the year, due to a family status change (i.e., marriage, births, divorce and adoption).
