The Prince George's County Fire and Emergency Medical Services (EMS) Department is currently seeking qualified applicants to fill a Administrative Aide 4H position , grade H19 in the FD Administrative Support Unit
About the Position
This position provides advanced administrative duties and office management to the Fire / EMS Human Resources Office. The incumbent is entrusted with handling highly sensitive and confidential information and must use good judgment and discretion while maintaining the security of the confidential information. In addition, an extensive amount of interface with internal and external customers is required for the purpose of receiving, recording, and responding to inquiries. Work is performed independently within well-defined Departmental and County policies and procedures under the supervision of the Human Resources Manager and Office Manager.
Work at this level involves handling highly sensitive and confidential issues and related activities. Under close supervision, the employee will perform work assignments in accordance with departmental policies, rules, and regulations. Work is evaluated by an administrative supervisor through conferences, reports, and evidence of the accomplishment of assigned tasks. This is senior-level professional work responsible for diverse, complex, and difficult purchasing actions to acquire the product and services resources County departments and agencies need to fulfill the operational responsibilities.
This position is designated "Essential" and the employee must be willing to participate during emergency situations in the event of a natural or manmade disaster; special activities / events. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave.

Examples of Work
- Serves as the Office Manager for the Human Resources Office. Guides and coordinates all support for day-to-day Command activities.
- Effectively utilizes a thorough knowledge of Departmental policies and procedures and County Government policies affecting the Fire / EMS Department.
- Maintains and utilizes a broad knowledge and understanding of the various Fire Department organizations, Task Forces, associations, committees, and the chain of command.
- Research files and / or makes telephone inquiries to collect data to assist in the preparation of letters, memorandums, and reports. Prepares, researches, and organizes background information for meetings, conferences, correspondence, and press releases.
- Independently handles memos or letters of a routine nature, preparing a response for the supervisor's approval. Independently processes forms and prepares reports, presentations, and correspondence according to Departmental guidelines and established procedures.
- Review and ensure all correspondence prepared for the signature is grammatically and factually correct and put in the proper format for their review and signature.
- Return for corrections as necessary, with instructions and following up on completion.
- Independently review and prioritize assignments for appropriate action and distribution; screen telephone calls; assist visitors; familiar with the daily activities and affairs of the office so that requests for information may be adequately addressed.
- Respond professionally and expeditiously to all inquiries to ensure that information flow is accurate and prompt and to maintain good public relations.
- Obtain all pertinent information for assignments dealing with outside vendors, County agencies, applicants, separating employees, the general public, or reporters.
- Perform other related duties and assignments that may not be specifically listed in this position description but within the general, occupational category and responsibility level associated with this class of work.
Qualifications
Or Nine (9) months of experience in the Administrative Aide III level.
Any equivalent combination of relevant training, education and experience will also be accepted.

General Plan Information :
The Prince George's County benefits plan year is from January 1 to December 31.
A spouse (to include a same sex spouse) can be added to the health benefit plans. A marriage certificate and social security number is required to add a spouse.
Children under the age of 26 are eligible for coverage under the health benefit plans. This includes stepchildren and children of the same-sex spouse. A birth certificate(s) and social security number(s) is required to add a child(ren). If you are only adding the stepchildren or child(ren) of a same-sex spouse, you will need to submit a marriage certificate. You will also need to submit the birth certificate of the child(ren) and your spouse must be listed as a parent.
The premiums for health benefits are deducted on a pre-tax basis with the exception of Long-Term Disability, Extra Life Insurance and Voluntary Benefits (Short-Term Disability, Whole Life Insurance, Critical Illness, Accident Insurance, Cancer Indemnity, Hospital Indemnity Protection, Accident Indemnity Plan, Supplemental Dental and Group Legal Services).
New employees must enroll in the County's health benefit plans within thirty (30) days of the hire date.
The effective date of the health benefits coverage is the beginning of the month following a waiting period of forty-five (45) days from the date of hire.
After enrolling in the County's benefit plans, employees may only make changes to the plans either during the open enrollment period, which occurs annually (usually each October), and / or during the year, due to a family status change (i.e., marriage, births, divorce and adoption).
