Overview

The Office of Advancement Events is a highly respected and fast-paced events management team that plays a critical role for University Advancement at Princeton University. The events can range from small gatherings to large scale events and multiple components and complex programming.

 

The primary function of the Data Management Support III in Advancement Events is to support the management and reporting of event data using technology tools.  This position reports to an Associate Director, Advancement Events.

Responsibilities

Support the events team by managing technology tools related to event data integration to CRM, event metrics, surveys and reporting. 

  • Enter and manage event data within and between Aventri/Stova event management platform, CRM database and reporting tools such as Tableau, Excel, etc.
  • Ensure smooth, efficient and timely event data flow into CRM.
  • Serve as point of contact for Aventri/Stova support ticket inquiries and route accordingly.
  • Liaise with Advancement Departments to offer guidance and best practices as they build their own events within Aventri/Stova.
  • Assist with training documentation of event technology as necessary.
  • Manage post event data and create custom reports as needed.
  • In partnership with Associate Director, create and administer surveys in Aventri for events organized by the Advancement Events team or cross-functional teams.
  • Maintain event information necessary for event measurement and metrics. Assist in the development of ongoing metric process.
  • Assist AD in creation of reports (weekly / monthly /ad hoc) and analytics to provide meaningful insights and actionable data related to Advancement Events.
  • Assist AD in the development and administration of reporting to track key performance indicators.
  • Keep appraised of event industry best practices and new technologies.

Provide event technology and ad hoc administrative support to meet team goals and objectives while serving as a resource to Advancement office requests for information. 

  • Prepare customized reports.
  • Support virtual Advancement Events via Zoom as needed.
  • Build simple event registrations in Aventri/Stova as needed to back up Event Assistants.
  • Assist with name tag and escort card preparation as needed.
  • Assist in preparation of seating diagrams as needed through third party platform.
  • Provide on-site staffing assistance for events as required.

Perform special projects as assigned.

Qualifications

  • 1-3 years of work experience in a fast-paced customer service environment.
  • Exceptional computer skills including demonstrated proficiency with database, software and web applications.
  • Ability to quickly adapt to and learn new technology interfaces.
  • Excellent attention to detail.
  • Excellent interpersonal and customer relations skills including a positive ‘can-do’ attitude.
  • Strong work ethic.
  • Strong organizational skills including ability to prioritize projects, manage multiple tasks, ability to meet deadlines.
  • Demonstrated ability to work independently while being part of a high-performing team.
  • Understand fully the mission and needs of University Advancement.
  • Understand the priorities of University Advancement and Advancement Events.
  • Ability to work evening and weekend events as needed.

Preferred:

  • Bachelor’s degree.
  • Experience in higher education, and/or not-for-profit development organizations.
  • Experience in event planning or the event industry is a plus.
  • Familiarity with Princeton University or a similar university environment is preferable.
