Print-O-Stat is searching for a highly motivated, proven Service Administrator. The Service Administrator plays an important role in the organization by performing several tasks related to documentation, data entry and monitoring of customer usage to ensure adequate billing. The role is primarily responsible, under general supervision, for administrative support to the Service Department and assisting with other functions as needed. Additional responsibilities include but are not limited to the following:
Responsibilities:
- Answer incoming service calls, provide responsive and courteous customer service to callers
- Assist with logging time sensitive data into TakeStock and Ayanora to assist with scheduling service calls
- Monitor and log customer service meter data into TakeStock and Ayanora to ensure accurate customer billing
- Reconcile month service accounts
- Monitor all service department vehicles including mileage logs, preventive maintenance, and maintenance
- Update and prepare monthly vehicle reports for service department and submit to Controller and President
- Provide excellent customer service to clients including trouble shooting and providing resolutions
- Assist in the preparation and processing of customer invoicing
- Perform general clerical duties including but not limited to data entry, billing, scanning, and filing
- Correctly distribute incoming and outgoing mail distribution for service department
- Assist service technicians with questions and additional support as needed
- Perform other essential duties as assigned by manager
Experience:
- Experience using multiple phone lines preferably as a receptionist
- Experience regularly interfacing with customers and external stakeholders
- Previous data entry and customer service experience a must
- Proficiency in Microsoft Office Suites to include, Office, Outlook, Word, Excel
- Able to work a flexible schedule between the hours of 8-5pm
- Possess excellent attention to detail skills
- Ability to work in a fast paced environment
Requirements:
- High School Diploma or G.E.D require
- A minimum of 2 years of office administration experience required
