The Long-Acting Injectable Supervisor is responsible for managing the PHNTX long-acting injectable medication program, including overseeing the procurement, inventory, storage & handling, and administration of specialty medications. This role involves supervising and training support staff, including medical assistants, and ensuring adherence to clinic protocols for the administration of long-acting injectable medications in the clinic setting. The Long-Acting Injectable Supervisor will collaborate with physicians, pharmacy teams, and other healthcare professionals to ensure safe and efficient medication delivery and adherence to regulatory compliance.
Responsibilities
Specific Responsibilities of The Job:
Leadership And Staff Management
- Lead, manage and hold accountable staff assigned to the long-acting injectable medication program.
- Supervise staff performance, conduct evaluations, and assist in setting goals for direct reports.
- Oversee onboarding, training, and competency evaluations for all direct reports
- Foster a positive team environment with clear communication and collaborative problem-solving.
- Oversee the administration of long-acting injectable medications, ensuring medications are administered safely and in compliance with manufacturer guidelines and clinic protocols.
- Manage the procurement, inventory, and storage of long-acting injectable medications, coordinating with pharmacy and procurement teams to ensure availability and proper handling.
- Ensure that medications are handled safely and within regulatory and manufacturer guidelines to minimize risks related to medication loss or mismanagement.
- Work with clinic staff to ensure that medications are administered on time, and any scheduling or authorization issues are promptly addressed.
- Process new patient referrals along with financial navigators to enroll patients in Long-Acting Injectable Program.
- Track patient injections to facilitate medication adherence
- Communicate regularly with patients in clinic, over the phone and via the electronic medical record.
- Pick up medications from the pharmacy and transport to the clinic.
- Collaborate with the clinic manager to plan, recommend, and implement improvements to clinical services.
- Oversee and perform regular audits of clinical inventory and medication storage to ensure compliance with regulatory standards.
- Participate in quality improvement initiatives, identifying opportunities for process improvements and policy changes.
- Ensure compliance with clinical and organizational goals, conducting regular chart and inventory audits.
- Oversee incident reporting and assist in resolving patient concerns or complaints.
- Engage in continuing education to enhance professional competence and meet regulatory requirements.
- Support the Clinic Manager in administrative tasks, including budgeting for specialty medication procurement and managing program policies and procedures.
- Provide administrative support for clinic operations, ensuring efficient coordination of medication administration and patient safety.
- Fulfill other administrative duties as assigned.
- Medical Assistants assigned to the Long-Acting Injection Program
Required Knowledge Skills and Abilities:
- Supervisor experience is preferred, with the ability to manage and motivate a team.
- Strong organizational skills, with the ability to manage medication inventory to meet regulatory and manufacturer requirements.
- Attention to detail with strict adherence to protocols and compliance standards, ensuring accuracy in all tasks, from medication handling to inventory audits.
- Strong verbal and written communication skills, with the ability to effectively communicate with healthcare professionals, patients, and staff.
- Ability to work independently while also collaborating effectively within an interdisciplinary team.
- Critical thinking and problem-solving skills, with the ability to prioritize tasks in a fast-paced clinic environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Ability to lift up to 50 pounds.
Skills, Education And Experience
- Minimum of 3 years of experience in healthcare administration or clinic operations, particularly in medication program or clinic administrative oversight.
- Minimum 5 years of experience as a medical assistant; comparable direct patient care experience may be considered
- Supervisory experience preferred.
- Experience with ambulatory care settings and familiarity with Electronic Medical Records (EMR) is required.
- Familiarity with medication handling and regulatory compliance required.
- Successful completion of Medical Assistant training program, or current licensure by the Texas Board of Nursing or proof of reciprocity with another state (LVN or RN).
- Current American Heart Association Basic Life Support (BLS) certification.
- Must participate in performance improvement and quality activities.
- Must be able to fulfill other duties as assigned.
- Must have dependable transportation, with a current Texas Driver's License and active auto liability insurance.
