Overview
The Scheduling Coordinator directly affects employee satisfaction and quality of life by optimizing the employee work schedule and productivity, while minimizing their commute. The Scheduling Coordinator’s work directly impacts client family satisfaction and therapeutic progress by optimizing the speed the client accesses as close to 100% of their authorized therapy hours as possible, with a well-matched clinical team.
Duties
- Coordinate the staffing and scheduling of ABA services across many clients and staff
- Use of scheduling software to manage client and staff schedules
- Ensure contract maximization for each client based on contracted services
- Assist in intake and client start-up activities
- Ensure staff hours are scheduled in accordance with company policies
- Manage cancellations as they occur and arrange for sub coverage and/or make up sessions
- Maintain up to date records on the availability of staff and clients
- Communicate scheduling and staffing information with clients and staff
- Assist with the preparation and maintenance of employee and patient files in accordance with PBS policy and HIPAA standards
- Must keep track of changing organizational needs as it relates to policies, business systems, legal practices, HIPAA compliance, technology, etc.
Qualification
- H.S Diploma Required, AA/Bachelor's Degree Preferred.
- Experience in staffing and scheduling
- Ability to work in a fast-paced office environment
- Strong ability to multi-task and problem-solve
- Expertise in the use of computers & Microsoft Office
- Excellent organization & communication skills, and attention to detail
- Positive, friendly attitude
- Spanish required
- Must have at least 1-2 years of patient scheduling experience
- ABA experience is a plus, but not required
- Key Characteristics: Professional, organized, creative, motivating, goal-driven, enthusiastic
- Lift equipment and materials up to 25 lbs.
