What are the responsibilities and job description for the Office Administrative Assistant position at Prisoner Visitation and Support?
We are seeking a detail-oriented and organized Administrative Assistant to join Prisoner Visitation and Support, a non-profit organization dedicated to providing visits to incarcerated adults in Federal and Military Prisons. The Administrative Assistant will provide support for financial transactions including managing donations, program support and communication processes. We hope to grow this position overtime. The ideal candidate will have the following knowledge and skill.
· Knowledge of automated systems including database management, word processing, and Microsoft Office Suite
· system, plus bookkeeping and accounting practices for non-profits
· Knowledge of Donor Perfect software
· Ability to manage and process financial transactions.
Areas of Responsibility
1. Financial Transactions. With oversight of Program Manager and Accountant:
- Inputs financial transactions
- Reconciles financial Transactions with books
- Pay bills, executes payroll, and manages invoices
- Handles designated accounting/bookkeeping tasks.
2. Manages Donations
- Inputs donations into Donor Perfect
- Maintains donor and prospect databases in Donor Perfect
- Generates thank you letters to donors through Donor Perfect
- Generates donor reports
3. Program Manager Support
- Creates and maintains visitor and recruitment databases
- Provides administrative support with visitor and applicant correspondence
- Sends visitor orientation packets to new visitors
4. Communications
- Sorts and processes mail, corresponds with prisoners, and tracks requests from prisoners for visits
- Coordinates distribution of visitor and community emails through Constant Contact
- Maintains website and social media accounts
5. General office duties such as maintaining files, restocking office supplies, and answering the phone

Education and Experience
· Two years or more of office administrative experience, plus a high school degree.
· Demonstrated ability to design and maintain complex office systems for record- keeping, including filing systems.
Supervisory Controls
The Administrative Assistant reports to the PVS Executive Director (ED).
Work Environment
This position is part-time for 10-15 hours/week. Work is sedentary and completed at the PVS Office.
Job Type: Part-time
Pay: $20.23 - $21.59 per hour
Expected hours: 10 – 15 per week
