Location : New York, NY (West Village) and occasionally other properties located in NYC
Schedule : M-F; Occasional nights and weekends as needed
Job Summary
New-construction, large primary residence in lower Manhattan seeking a hands-on, reliable, and service oriented Residential Facilities Engineer (RFE) who will be responsible for working closely with contractors and the house staff to maintain and support household operations for a 25,000 square foot private home with complex smart home technology and 9,000 square feet of outdoor terraces. Facilities include a large gym, indoor pool / hot tub / steam / sauna facility, theater and chef’s kitchen.
The RFE works to seamlessly ensure all back of house operations, are running and functioning at their highest levels. The RFE should be well-versed in the operation of complex systems including but not limited to : Geothermal used in both heating and air conditioning; electrical systems; and water treatment systems; A / V; IT; Crestron; Lutron; & BMS.
Reporting to the Director of Construction and Residential Projects (DCRP), as well as the Managing Director of Operations and Properties (MDOP), and coordinating closely with the on-site Property Manager and the household staff, the RFE manages and works hand in hand with MEP, Pool, Elevator, A / V, IT and other numerous contractors and vendors to ensure that the complex systems of all properties are always running and maintained at top efficiency.
The RFE is professional, reliable, and responsive, wears many hats, is a stickler for details, enjoys problems solving, and provides exceptional service to the principals / family and guests, while upholding the utmost respect for boundaries, privacy, and confidentiality at all times.
Responsibilities include but are not limited to :
- Maintenance of commercial level MEP systems including but not limited to : Geothermal used in both heating and air conditioning; electrical systems; and water treatment systems, lighting control systems, heat pump, heat exchanger systems, and associated building management control systems oversight for, and management of the building and garden MEP plants and controls.
- Manage all vendor maintenance programs, from PM to major change-out of systems when needed.
- Assist with the development of system’s operational schedules to ensure optimum performance is being provided.
- Performs regular building and garden review and minor maintenance.
- Works closely with the Property Manager to schedule, coordinate, and oversee routine and emergent vendors, accounts, contractors, workers, repairs of the home, and landscaping systems.
- Coordinates with the Property Manager to ensure the house and gardens are ready for arrivals and departures of principal, family, and guests and maintenance activities are conducted with as little disruption as possible.
- Creates and maintains detailed checklist systems for managing maintenance standards and ordering equipment and supplies to ensure all equipment is receiving proper PM services.
- Handle all regular house and gardens maintenance : stocking and replacing light bulb, ensuring all systems and programs are properly backed-up and running at top efficiency, keeping inventory of sufficient maintenance replacement parts.
- Purchasing and organizing property maintenance supplies.
- Provides timely updates and reports regarding service performance, issues, and work in progress.
- Input and maintain recordkeeping and databases with relevant data.
- Supervise and monitor all vendor maintenance, including communicating with & scheduling subcontractors, resolving day-to-day problems on site, and inspecting work as it occurs to ensure compliance with plans, specs, & schedules.
- Involved with all areas of security for the house.
- Consults with DCRP on non-routine and / or large-scale household and repair decisions.
- In close coordination with DCRP identify, contract, and engage appropriate resources to execute maintenance and improvement plans.
- Executes Principals’ environmentally sensitive goals from minute details to broad scope vision.
- Ensure efforts are made to reduce the operational consumption of resources and manage waste through environmentally sensitive practices.
- Procures supplies and keeps levels stocked for the home; maintains and services equipment.
- Maintain detailed equipment maintenance manuals of daily, weekly, monthly and annual requirements.
- Ensures appropriate records of inspections and work performed are documented and retained.
- Assists in the preparation of the annual budgets and monitors and controls costs against budget throughout the year; monitors utilities usage & adjusts where appropriate.
- Handle seasonal maintenance and clean ups.
- Remove trash and debris from house when needed.
- Assists with special events as requested.
- Runs household errands and other driving as needed.
- Maintain the front of the house and sidewalks. Sweep, hose, snow and ice removal, stain removal.
- Remove leaves and trash from Guest Room terraces. Remove trash and rodent / avian casualties from garden terraces.
- Oversight of exterminators
- Maintenance of automobiles in terms of registration, insurance, scheduling tune-ups and repairs, refueling / recharging.
- Occasionally support other company properties with facilities and maintenance issues.
- Build effective relationships with Administrative, Property and Finance / Operations staff to smoothly carry out responsibilities.
