Position Overview: The Orthopedic Surgery Scheduler is responsible for coordinating and scheduling surgical procedures for patients in an orthopedic practice. This role ensures efficient scheduling, accurate documentation, and effective communication between patients, healthcare providers, and surgical facilities. The ideal candidate is detail-oriented, organized, and adept at multitasking in a fast-paced environment.
Key Responsibilities:
Scheduling Coordination:
Schedule surgical procedures in collaboration with surgeons, healthcare facilities, and other healthcare professionals.
Confirm surgeon and facility availability to ensure optimal scheduling.
Emergency/Last-Minute Adjustments:
Handle urgent scheduling needs or last-minute changes with efficiency and professionalism.
Ensure availability of backup resources for surgical cases.
Patient Communication:
Inform patients of their surgical date, time, and location.
Provide pre-operative instructions, including preparation requirements and arrival times.
Address patient questions or concerns regarding their surgery.
Documentation and Compliance:
Ensure all necessary pre-operative paperwork, including authorizations, medical clearances, and consent forms are complete and accurate.
Maintain up-to-date patient records in the EHR.
Verify and document patient insurance and payment information.
Familiarity with coding for surgical procedures (CPT, ICD-10) is preferred.
Collaboration and Coordination:
Act as a liaison between the surgeon, patients, operating room staff, and other medical providers.
Coordinate pre-operative testing and follow-up appointments as needed.
Assist with cancellations or rescheduling and ensure all parties are informed of changes.
Administrative Support:
Maintain surgery schedules and resolve conflicts or overlaps.
Keep track of surgical supplies or implants if required.
Generate and distribute surgery-related reports to the team.
Work Environment:
This position will primarily be based in one of our Austin area clinics, with some flexibility to work from home after the initial training period. It requires frequent interaction with patients, physicians, and medical staff. Some flexibility in hours may be required based on surgery schedules or urgent patient needs.
Qualifications:
Education and Experience:
High school diploma or equivalent required; associates degree or higher preferred.
Prior experience in medical scheduling, especially in orthopedics or surgery, is required.
Skills and Abilities:
Strong organizational and time-management skills.
