Job Description
Job Description
Not a fan of being stuck behind a desk all day? If you have at least two years of experience supporting a real estate agent or team, hold an active California real estate license, and thrive in a fun, dynamic environment where organization and client service are key, this could be the perfect fit for you!
This role is structured as a full-time, salaried position with 9-5 Monday - Friday hours with occasional needs on the weekends. While the workload typically averages 25-30 hours per week, the hours may fluctuate based on business needs, including up to 40 hours in peak times.
Our client, Jill Fusari, is a top 1% luxury real estate agent in Alamo, CA, as recognized by Real Trends. With decades of expertise, Jill is known for delivering exceptional client experiences, expertly managing the complexities so her clients can focus on what truly matters. Prioritizing quality over quantity, she's looking for a trusted administrative partner to join her in providing high-touch service to her luxury clientele.
Does This Sound Like You
You thrive behind the scenes, keeping everything running smoothly while making your boss shine. With discretion and professionalism, you navigate diverse personalities effortlessly and help maintain lasting relationships with vendors and clientele. Strategic and proactive, you transform big-picture goals into clear, actionable steps, ensuring nothing falls through the cracks. You are comfortable being client-facing and maintain a polished appearance and demeanor.
In the past, others have praised your ability to stay organized, keep them on track, and flawlessly manage projects. Your keen attention to detail and ability to anticipate needs allow you to quickly earn trust, removing distractions and handling the small details that make a big impact. No task is too big or too small- you're always ready to roll up your sleeves and do what it takes to get things done . For example, while meeting with vendors, should you see that a home or yard is in disarray, you tidy up before professional photographs are taken.
You take full ownership of your role and are a reliable presence others can count on. With a deep understanding of the impact of thoughtful, timely communication, you consistently deliver impeccable service time and time again, whether interacting with brokers, clients, or vendors.
Applicants seeking a position as a stepping-stone into sales-this is not the job for you.
A Day in the Life
No two days are the same in this dynamic role, but you can expect to be hands-on and involved in every aspect of the business. With 20% of the role in the field, one moment, you might be previewing properties on behalf of your agent or ensuring a listing is market-ready. The next, you're preparing for broker tours, open houses, and showings-making sure every detail is covered.
Behind the scenes, you're the organizational powerhouse keeping everything on track. From managing Jill's calendar and inbox to coordinating vendors, overseeing inspections, and keeping marketing deadlines in check, you ensure nothing slips through the cracks.
You'll also play a key role in client care and relationship management , handling everything from organizing thoughtful client gifts and planning events to implementing a new CRM and ensuring seamless communication.
When it comes to project management , you'll oversee property renovations and pre-listing preparations, attend inspections, assist with listing coordination, input properties into the MLS, and make sure every home is presented at its best. With a sharp eye for detail and a proactive approach, you keep the marketing calendar running smoothly and always stay ahead of deadlines.
In short, you're the steady hand behind the scenes- keeping the business moving, the clients happy, and Jill focused on what she does best.
