We are seeking a highly organized and detail-oriented Specialist, Contracts & Legal Operations to join our dynamic business operations team. This role encompasses responsibilities related to managing contracts, ensuring compliance, mitigating risks, and optimizing operational processes to enhance efficiency and effectiveness across the organization.

This role encompasses responsibilities related to managing contracts, ensuring compliance, mitigating risks, and optimizing operational processes to enhance efficiency and effectiveness across the organization.
Key Responsibilities:
Contract Management & Risk Mitigation:
Contract Management & Risk Mitigation:
- Manage the contract lifecycle, including drafting, reviewing, negotiating, and executing contracts.
- Create, maintain, and update standard contract templates to ensure they are aligned with legal and business requirements.
- Assist with risk assessment by reviewing contracts for potential legal, financial, and operational risks, and providing recommendations for mitigation.
- Help manage the company’s intellectual property portfolio, ensuring IP protection and compliance with filing requirements.
Filing, Compliance, & Contract Management:
- Manage the filing of state registrations across various states and Pro Shop entities to ensure compliance with local requirements.
- Oversee the legal signature process and maintain the contract management system, ensuring documents are properly executed and tracked.
- Ensure timely renewal and updates of business licenses and compliance-related documents.
Legal Operations Management:
- Streamline and improve legal department processes, including document management, workflows, and contract management systems.
- Assist in the implementation and management of legal technology tools.
- Maintain and organize the company’s legal files and records in shared drives, ensuring they are up to date, accessible, and properly archived.
Insurance & Documentation:
- Serve as the liaison between Pro Shop and the insurance provider to fulfill Certificate of Insurance (COI) requests and manage any claims or updates.
- Maintain organized records of insurance policies, claims, renewals, and related documentation.
- Provide support in insurance matters, ensuring appropriate coverage and risk management strategies are in place.
Risk & Compliance Management:
- Assist with regulatory filings and ensure adherence to industry-specific regulations, corporate governance standards, and internal compliance policies.
- Provide administrative support in the ongoing monitoring and enforcement of compliance with applicable laws and internal policies.
M&A & Due Diligence Support:
- Support M&A activities by assisting with contract review, risk assessment, and documentation related to due diligence during potential acquisitions or strategic business partnerships.
People Team Support:
- Assist the Director of People with managing HR-related legal paperwork, including preparing and reviewing employment contracts, benefits documentation, and other employee-related legal documents.
Qualifications:
- Bachelor’s degree or Paralegal Certificate from an accredited program or equivalent experience.
- Minimum of 5 years of experience in contract management, operations, or risk management, preferably with a background as a paralegal.
- Experience supporting corporate teams or working within a business operations framework is highly desirable.
- Strong knowledge of contract management, compliance, risk assessment, and legal processes.
- Proficiency in legal software and tools (e.g., DocuSign, contract management systems, document management platforms).
- Experience with state registrations, compliance filings, and legal documentation.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills with the ability to prepare and review legal documents.
- Ability to manage multiple tasks and projects efficiently in a fast-paced environment.
- Experience supporting due diligence processes and managing relationships with external vendors or service providers is a plus.
