Position Overview: We are seeking a dynamic and detail-oriented Office Assistant to join our family-oriented team at Pro-Tech Vinyl Repair & Upholstery. This role involves a blend of customer service, sales support, and business office functions, including accounts receivable, billing, and general administrative tasks. The ideal candidate will have a strong knowledge of billing and collection practices, proficiency with the Microsoft Office suite, and excellent communication skills. Ideally this position would work the shift 6:30 am to 12:30 pm Monday through Friday.
Responsibilities:
Customer Service and Sales Support:
- Make calls to current customers to build and maintain relationships, ensuring customer satisfaction.
- Respond to customer inquiries and convey requests accurately and effectively.
- Assist with customer service tasks, providing timely and helpful responses to customer needs.
Business Office Functions:
- Assist the Business Office with accounts receivable/payable, billing, and other account functions.
- Create and update files and records using a PC or terminal.
- Collect and file documents, correspondence, and other printed matter.
General Administrative Duties:
- Perform office duties such as answering telephones, taking and relaying messages.
- Write administrative procedures and services manuals.
- Prepare reports, including financial reports, and maintain records, reports, and files.
- Conduct or attend staff meetings and maintain inventory of office equipment or furniture.
- Analyze organizational operating practices or procedures and recommend solutions for administrative problems.
- Direct and coordinate activities of workers or staff, and manage contracts as necessary.
- Order or purchase supplies, materials, or equipment.
Human Resources Support:
- Screen job applicants and assist in hiring and onboarding.
Qualifications:
- High School diploma (or equivalent) required.
- At least one year of experience in a business office environment preferred.
- Customer service and sales experience required.
- Background in accounts receivable or human resources preferred.
- Proficiency with Microsoft Office suite applications.
- Accurate, concise, and detail-oriented with excellent organizational skills.
- Strong communication skills with the ability to listen and convey requests effectively.
