Description

ROLE

The Payroll Specialist is responsible for managing payroll processing, tax registration and compliance, invoice reconciliations, and leave management for our organization.

ESSENTIAL FUNCTIONS

Payroll Processing

  • Generate timesheet file for import and process payroll bi-weekly, ensuring payroll is processed accurately and all payroll adjustments, checklists and reconciliation processes are followed with each payroll.
  • Generate payroll reports following completion of payroll processing and assist in payroll and timesheet audit activities.
  • Ensure that employee payroll processing is in compliance with federal and state laws.
  • Review and approve compensation and other payroll related changes in Paylocity.
  • Process garnishments, deductions, bonuses, commissions, PTO, and reimbursements in accordance with company policies.
  • Respond to payroll queries from employees in a timely manner and process payroll corrections as needed.

Tax Management

  • Oversee payroll tax filings to ensure compliance with federal, state, and local tax regulations.
  • Complete timely registration with tax authorities for different states where employees are based.
  • Coordinate with third-party vendors for tax filings, including federal and state returns, W-2 processing, and other tax-related documents.
  • Invoice Reconciliation

  • Review and reconcile payroll and benefit related invoices to ensure accuracy.
  • Work with the accounting department to resolve discrepancies and maintain financial accuracy.
  • Process and / or approve payment for various benefit vendors.
  • Leave Management
  • Administer employee leave requests and ensure adherence to company policies for various leave types (FMLA, disability, personal, etc.).
  • Track employee leave balances and collect benefit payments.
  • Review returned paperwork for accuracy and maintain accurate records of employee leaves.
  • Compliance with Payroll and Leave Laws

  • Maintain up-to-date knowledge of payroll laws, tax regulations, and leave policies across multiple states.
  • Ensure compliance with applicable federal, state, and local labor laws, including overtime, minimum wage, and family and medical leave laws.
  • Collaborate with legal and HR teams to ensure compliance with any new state-specific payroll or leave requirements.
  • Requirements

    QUALIFICATIONS EDUCATION / CERTIFICATION :

    Bachelor's degree Business, Accounting, Finance or equivalent work experience.

    REQUIRED KNOWLEDGE & EXPERIENCE :

    3-5 years prior payroll or HR experience

    Familiarity with multi-state payroll and leave laws.

    Knowledge of payroll software and systems.

    Proficient in Microsoft Excel.

    SKILLS / ABILITIES :

    Strong attention to detail and organizational skills.

    Excellent communication skills, both verbal and written.

    Ability to maintain confidentiality and handle sensitive information.

    Sound reasoning and decision-making skills.
