Key Responsibilities:
- Be the welcoming face of the organization! Greet and direct visitors, ensuring they feel welcomed and are connected to the appropriate team members.
- Handle incoming calls with professionalism—answer, screen, and direct calls while providing essential information as needed.
- Provide broad administrative support across various departments, from filing and photocopying to managing schedules and arranging meetings.
- Coordinate the flow of mail and deliveries, ensuring all correspondence and packages reach the right hands promptly.
- Keep appointment calendars up-to-date, managing class schedules, meetings, and other organizational events.
- Assist visitors with questions about training program locations, costs, and applicability, enhancing their experience with knowledgeable responses.
- Accurately process payments and handle daily cash reconciliation to maintain balanced records.
- Attend scheduled meetings to stay informed and aligned with organizational goals and updates.
- Provide clerical support, including data entry, filing, and other essential office functions.
- Engage in other duties as assigned to support the organization’s goals.
Qualifications:
- Familiarity with office and clerical equipment and procedures.
- Basic understanding of bookkeeping practices is a plus.
- Strong computer skills, especially in MS Word, Excel, and PowerPoint.
- Ability to quickly learn the functions of a training facility and assess customer training needs.
- Exceptional multitasking, prioritization, and time-management skills, with a commitment to meeting deadlines.
- Effective communication skills, both written and verbal.
- A positive, proactive attitude toward problem-solving and customer service.
- Ability to handle payments and cash accurately.
- Dependable, punctual, and flexible to adapt to schedule needs.
- Reliable team player with a focus on providing high-quality service to clients and staff.
