POSITION SUMMARY
Were looking for a highly organized and detail-oriented HR Administrative Coordinator to join our team! In this role, you'll support a wide range of Human Resources functions to ensure smooth, consistent operations across the department. From assisting with recruiting and onboarding to maintaining employee records and supporting HR-related events, you'll play a key role in helping us create a positive and efficient employee experience. Youll also contribute to our quality initiatives and help drive continuous improvement across the company.
MINIMUM JOB QUALIFICATIONS AND REQUIREMENTS

2 years of college coursework in Business, Human Resources, or a related field; or an equivalent combination of education and relevant work experience

At least 2 years of experience in Human Resources administration strongly preferred

Demonstrated ability to handle confidential information with discretion

Strong attention to detail and organizational skills

Effective verbal and written communication skills

Working knowledge of EEO guidelines

Proficiency in Microsoft Office (Word, Excel, PowerPoint) and ability to learn new systems (HRIS/ADP preferred)
OTHER ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
Recruitment & Pre-Hire Coordination

Coordinate background checks, drug testing, and reference checks

Schedule and administer pre-employment testing
-
Track and share test results with relevant stakeholders
Onboarding & New Hire Support
-
Assist with employee orientations and facility tours
-
Prepare and send new hire communications
-
Create onboarding packets and welcome gifts
-
Ensure completion and accuracy of all required documents (I-9s, W-4s, etc.)
Records & File Maintenance

Maintain and audit employee files (active, benefits, terminated)
-
Ensure timely and accurate filing of I-9s, training records, health cards, etc.

Track training and certifications in ADP
Employee Support & Recognition
-
Manage employee recognition programs (90-day letters, surveys, etc.)
-
Update HRIS (ADP) with job changes, promotions, and new hires

Track 90-day evaluations and send reminders to managers
-
Manage employee badge program, locker assignments, and radio distribution

Maintain and update company org chart
Administrative & Event Coordination

Assist with coordination of internal training, safety meetings, and educational webinars
-
Help plan company-sponsored and HR-related events (e.g., blood drives, employee appreciation)

Maintain HR supplies and inventory (forms, swag, locks, etc.)

Post and update materials on employee bulletin boards
Travel & Reception Coverage

Coordinate travel for candidates and employees (interviews, conferences, etc.)

Serve as back-up receptionist (phones, guests, applicants) as needed
Other

Maintain strict confidentiality of all employee and company information

Perform other HR administrative duties and projects as assigned
WORK ENVIRONMENT
- Duties are performed primarily in a smoke-free office environment
PHYSICAL REQUIREMENTS
- Frequent sitting (we provide a standing desk option)
- Able to lift up to 25 lbs.
