Document Control Analyst (Intermediate) : On behalf of our Oil & Gas client, Procom is searching for a Document Control Analyst for a 12-month role. This position is a hybrid position with 2 days onsite at our client's Houston office. Document Control Analyst - Job Description : We are looking for a dedicated and meticulous Document Control Analyst for our project team. The ideal candidate will have experience in managing and organizing documents while ensuring their accuracy, quality, and integrity. This role involves handling both electronic and physical records, and it requires a strong understanding of project management and business processes. Document Control Analyst - Responsibilities :
- Develop, maintain and execute Information Management Plan
- Partner with the U.S. SharePoint Administrator to develop project-specific SharePoint site
- Review the Contractor Document Control Requirements and revise to reflect the project's contract(s)
- Develop transmittal log, distribution matrix, and master document register
- Manage setup, monitoring, and coordination of field document processes
- Set up locations, data repositories, metadata, and security settings for hardcopy project files
- Track document submissions, revisions, approvals, and distribution
- Control sensitive and restricted information
- Distribute documents in accordance with the document distribution matrix
- Use the master document register to track information deliverables and monitor for missing information
- File information in accordance with document control and records management requirements
- Work with the Project Manager, Engineer, Field Clerks, and / or Contractors to resolve discrepancies
- Support Project Turnover Memorandum process
- Responsible for all documentation related project closeout activities Document Control Analyst - Mandatory Skills :
- High school diploma or equivalent required
- Preferred experience with working on a document control team for various project sizes
- Good communication skills
- Speaks and writes clearly and informatively
- Good knowledge of departmental function, terminology, and interrelationships
- Good understanding of policies and procedures that apply to assignments
- Ability to multi-task and manage multiple competing priorities Document Control Analyst - Nice-to-Have Skills :
- Experience with document control software
- Experience in project startup / setup and project closeout
- Knowledge of preparing project-specific Master Document Registers
- Familiarity with processing engineering and supplier documentation
