Job Description
Upon minimal direction, the MTO Business Operations Specialist responsibilities will be:
Financial documentation – IK Office ERP and SAP finance documentation tasks:
- Settlement and activation of capital projects in SAP
- Create and maintain master data in SAP - labor rates for cost centers and work centers
- Settle IK Office ERP charges to SAP
- Work with international partners to charge plant purchase orders internally in P&G
- Follow documented processes to store data for internal audits
- Backup counterpart in toolroom located in Germany
- Create Purchase Orders and enter goods receipts for items that will be logged into Vendor Managed Inventory Systems.
- Be a backup to load these systems with product if vendor is unable to do so.
- Work with shop personnel and vendors to address supply chain outages, obsolescence, and schedule technical presentations for new tooling.
- Create Purchase Orders for yearly contracts and one time purchases, deliver goods, enter goods receipts, and ensure timely payments to vendors.
- Pay external suppliers via Procured Payments (Credit) card, allocate funds to correct cost centers
- Maintain break room supplies orders (coffee, tea, dairy, etc)
- Place welding supplies orders
- Emergency one-time orders via credit card
- Create Purchase Orders for Maintenance, Repair and Calibration Services, and for spare parts on a timely manner.
- Follow up with vendors on any necessary documentation to complete order.
- Confirm order completion to trigger vendor payment.
- Book and plan social events, order catering
- Organize and manage shop databases for shop assets, laptops, lockers, and uniforms
- Enter facilities and housekeeping requests on a regular schedule for cleaning, repairs, emergencies.
Candidate must have/be able to:
- Exceptional ability to learn quickly and manage multiple priorities in a fast-paced environment.
- Interface with all levels of the organization.
- Strong problem solving and analysis. Proven administrative technical skills.
- Demonstrated proficiency in Office 365, Outlook, Word, PowerPoint and Excel.
- Exceptional ability to learn new technology and train others when appropriate.
- Minimum of a high school diploma, GED or equivalent education. However, a two or four-year college degree or equivalent administrative experience is preferred
- Administrative experience
- Strong organizational and communication skills
- High degree of knowledge and autonomy to own follow ups and handle many tasks proactively and independently
- SAP experience preferred
- IK Office or equivalent precision machining ERP software experience preferred
- Coupa or similar spend management platform experience preferred
- Wear safety shoes, hearing protection, and eye protection as needed while delivering materials to the machine shop floor.

- Starting range based on relevant experience: $30-$40 per hour.
