The Mailroom Administrator is responsible for expediting the routing and delivery of incoming and outgoing mail and deliveries. Apply postage to all mail using the postage machine. Ordering paper supplies (company stationery, envelopes and copy paper). May perform back up reception duties and other duties as assigned.
Essential Duties and Functions: include the following. Other duties may be assigned.
MAIL DUTIES
- Sort incoming mail and deliveries by department includes sorting, date stamping and delivery of to the departments.
- Process evening mail using postage machine.

Process UPS shipments via online system.
- Timely pick-up and distribution of inter-office mail throughout the day.
- Review invoices, posting amounts to the correct department & prep/submit for payment.
- Order company stationery, envelopes and copy paper.
- Daily/weekly runs to banks and/or post office when necessary.
- Obtain and cancel PO Boxes as needed.
MISCELLANEOUS
- Must provide professional and courteous service to all members of the PFI team.
- Provide back-up to receptionist when necessary.
- Other duties as assigned.

Required
- High school diploma or GED
- Valid driver’s license
- Previous computer experience
- Ability to maintain a high level of confidentiality & work with minimal direction
Preferred
- 1 – 3 years’ experience in a similar position
- Previous mailroom experience
- Proficient with MS Office Suite
Physical Requirements Necessary on a Regular Basis:
Manual dexterity, arm and upper body range of motion sufficient for use of a keyboard, mouse and telephone 7-8 hours per day.
Speech and hearing sufficient for in-person and telephone communication 7-8 hours per day.
Vision sufficient for use of a computer monitor.
Ability to sit/stand at a desk 7-8 hours per day. Standing at postage machine for extended amounts of time during the 7-8 hr./day Walking for extended periods during the 7-8 hrs./day This is a physical position and will be required to lift and carry >25 lbs., manipulate large bulky objects, manipulate small objects, reach, kneel, stoop, bend, push and pull, repetitively throughout 7-8 hour workday.
