Job Overview:
We are seeking a motivated, proactive, and tech-savvy 3PL Logistics Associate / Customer Coordinator to join our team. This individual will play a critical role in managing the backend of our Warehouse Management System (WMS), ERP systems, inventory reports, and shipping operations. The ideal candidate will have a strong background in logistics and 3PL operations, possess excellent communication skills, and be capable of leading teams and managing multiple priorities. You will be working with vendors, customers, and internal teams to ensure smooth and efficient operations, all while using modern-day IT tools to enhance service delivery.
Key Responsibilities:
3PL Associate Responsibilities:
- Monitor and manage the daily operations of our 3PL warehouse and logistics systems.
- Coordinate inbound and outbound shipments, ensuring timely delivery and accuracy of all orders.
- Process and validate shipping documents, including packing lists, bills of lading, and commercial invoices.
- Maintain inventory levels and assist with regular physical counts to ensure accuracy.
- Communicate with third-party warehouse teams to resolve discrepancies in inventory or shipments.
- Act as a liaison between customers, warehouse teams, and external vendors to resolve issues and ensure smooth operations.
- Assist in managing transportation logistics by working closely with carriers and freight forwarders.
- Ensure that all logistics processes comply with internal policies, customer requirements, and industry standards.
- Support the preparation and submission of daily/weekly/monthly logistics reports as required.
- Perform any additional duties related to logistics operations as assigned by the team lead or manager.
Onboarding Support and Transition Management (Customer Focus):
- Work directly with customers to manage the transition process from their old 3PL provider to our services.
- Serve as the main point of contact during the transition, guiding customers through the process of moving their logistics operations and inventory management to our system.
- Assist customers with integrating their existing systems into our WMS and ERP tools, ensuring a seamless transition with minimal disruption.
- Understand each customer’s unique requirements and tailor the transition process to meet their specific needs.
- Coordinate the logistics of moving inventory from the old 3PL to our facilities, including arranging pickups, ensuring accurate inventory tracking, and updating systems accordingly.
- Facilitate customer onboarding by helping them understand our processes, systems, and reporting requirements.
- Address any operational or logistical issues that arise during the transition, proactively providing solutions to ensure customer satisfaction.
- Provide ongoing support to customers after the transition, ensuring continued smooth operations and fostering long-term relationships.
- Collaborate with internal teams to ensure all customer needs are met during the transition and that all compliance requirements are satisfied.
Additional Responsibilities for Logistics Associate/Customer Coordinator:
- Manage and optimize the backend of Warehouse Management Systems (WMS) and ERP systems.
- Generate and analyze various reports, including inventory, freight, PLD, and shipping reports.
- Collaborate with vendors, customers, and internal stakeholders to ensure smooth shipping and order fulfillment processes.
- Maintain accurate records of inventory levels, order statuses, and shipment tracking.
- Provide ongoing communication with customers to process orders, resolve issues, and ensure satisfaction.
- Act as a liaison between internal teams and customers to address operational issues.
- Assist with logistics audits and freight cost analysis to ensure the most cost-effective transportation solutions.
- Schedule freight pickups, coordinate with 3PL warehouse teams, and ensure timely delivery of goods.
- Monitor and enforce compliance with vendor requirements and regulations.
- Continuously look for ways to improve operational processes and reduce inefficiencies.
- Provide leadership and guidance to junior team members, fostering growth within the department.
- Take ownership of projects and contribute to the development of the logistics team.
Key Qualifications:
- 3 years of experience in logistics, 3PL, or supply chain management.
- Strong understanding of WMS, ERP systems (Oracle NetSuite experience a plus), and inventory management processes.
- Experience in managing shipping and freight reports, and conducting audits.
- Comfortable communicating with vendors, customers, and internal teams to resolve issues and improve service delivery.
- Ability to manage multiple tasks, prioritize, and maintain high levels of attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Strong analytical skills and experience working with large data sets and reporting tools.
- Strong written and verbal communication skills; bilingual (English/Spanish) a plus.
- Proven ability to work effectively in a team-oriented environment while also being a proactive, self-motivated individual.
- Experience or interest in leading teams and developing leadership skills over time.
- A high level of comfort with modern IT tools, proactive problem-solving, and technology-driven solutions.
Additional Preferred Skills:
- Experience with freight negotiation and cost analysis.
- Knowledge of vendor compliance for major department and chain discount stores.
- Understanding of small parcel shipping and carrier rules.
- Experience in logistics software such as Ship Hero is a plus.
- Bachelor's degree in Business, Logistics, Supply Chain, or a related field is preferred.

Pay: $70,000.00 - $90,000.00 per year
