Job Overview
The Purchasing Specialist is responsible for overseeing the efficient procurement of supplies and capital equipment while ensuring compliance with company policies and procedures. This role involves managing the complete purchasing process, including reviewing requisitions, issuing and reconciling purchase orders, and negotiating pricing and terms with vendors. Additionally, the specialist evaluates and maintains vendor relationships, monitors credit card purchasing activities, and ensures accurate documentation for compliance, including vendor 1099 information. The position also includes developing purchasing procedures and handling returns or refunds as needed.
Duties
- Responsible for purchasing supplies and capital equipment efficiently, ensuring alignment with company policies and procedures.
- Receives and verifies purchase requisitions for accuracy and authorization.
- Prepares and issues purchase orders, negotiating prices, delivery terms, and credit terms.
- Maintains accurate purchasing and vendor records.
- Evaluates, assesses, and selects vendors based on capabilities, performance, financial stability, and consistent quality.
- Maintains rapport and strong working relationships with vendors.
- Updates and manages vendor contact information, qualifications, payment terms, and pricing.
- Ensures accurate vendor 1099 information and status.
- Applies authorization rules for purchase order types.
- Reviews and processes purchase orders, including vendor and part information, pricing, and tax considerations.
- Submits purchase orders via email and reviews confirmations for accuracy.
- Reconciles open purchase orders, clearing reports, and corrects pricing variances.
- Develops and enforces company credit card purchasing guidelines.
- Maintains employee credit card accounts and monitors spending levels.
- Reviews and reconciles open credit card receipts.
- Manages and monitors the company credit card rebate program.
- Processes and verifies vendor credits, refunds, and return paperwork.
- Develops purchasing procedures aligned with the company structure and software requirements.
- Performs additional purchasing-related duties as needed.
Qualifications
- Experience in distribution / manufacturing or a related field.
- Excellent analytical skills with the ability to make data-driven decisions.
- Strong communication skills, both written and verbal, to effectively collaborate with team members and vendors.
- Detail-oriented mindset with strong organizational skills to manage multiple priorities effectively.
- Post secondary education with degree/certificate in purchasing/accounting or related financial
- management area.
- 3 plus years in a purchasing role and/or 5 plus years in a general accounting role with purchasing involvement.
