Position Summary
We seek a customer service, process, and technology-oriented Document Control Specialist to join our team. In this role, you will contribute to document control processes, procedures, and systems to enable us to execute our major EPC construction projects successfully. You will execute the creation, review, revision, approval, distribution, and workflow of all critical project documentation, ensuring compliance with the established standards and processes. Your expertise will be crucial in maintaining accurate and up-to-date project documentation, facilitating seamless collaboration among cross-functional teams, and guaranteeing that all project stakeholders have access to the most current and relevant information. As the Document Control Specialist, you will play a pivotal role in enhancing project efficiencies, mitigating risks, and contributing to the successful completion of EPC projects. Your keen attention to detail, strong organizational skills, and ability to work efficiently and independently in a dynamic environment will drive excellence in document control processes. This position would be on-site at our Leawood, KS office slated to open in Q2 2025. The candidate we start remotely if hired before this timeframe. Note – This is not a permanent role, but a variable position based on project workload expected Until ~Q1 2028. Performance-based goals could potentially lead to a full-time hire.
Position Responsibilities
- Track client, contractor, and vendor deliverables throughout the project lifecycle (recording revisions, revision purposes, distribution and transmittal histories).
- Provide non-technical review of document/drawing releases to meet ISO 9001, Contractual, and Department requirements.
- Regularly communicate with clients (internal and external) and vendors to ensure document accuracy.
- Prepare accurate status reporting based upon the metadata designations and submitting at the determined frequency (per project basis).
- Support implementation of the department electronic document management system including the engineering PDM system.
- Effectively follow Work Instructions and assist with modifications as required.
- Support for the Quality System during corporate audits, actively participate in department activities.
Required Qualifications
- A minimum of 2 years of experience in document control, construction management, project coordination or information system, preferably within the construction industry
- Proficiency in working with document management software and systems, such as Aconex, Procore and Sharepoint, to effectively organize, track, and manage project-related documents
- Familiarity with the construction project lifecycles, terminology, and documentation requirements, including drawings, specifications, contracts, and permits
- Exceptional attention to detail and accuracy when managing documents, ensuring consistency, completeness, and adherence to standards
- Knowledge of deliverable management, transmittals, vendor data processes
- Strong written and verbal communication skills to effectively interact with cross-functional teams, stakeholders, and vendors, ensuring clear and concise communication of the document control process
- Proficiency in analyzing the document control process to identify areas for improvement and implementing strategies to enhance efficiencies and compliance
- A proactive problem-solving mindset to address document-related challenges and implement solutions to address these challenges
- Excellent organizational abilities to manage large volumes of documents, processes, and parallel projects with different requirements
- Able to type at least 50 words per minute without errors
- US work authorization is a precondition of employment. The company will not consider candidates who require sponsorship for a work-authorized visa.
- Successful candidate will need to satisfactorily complete pre-employment drug screen and background check
Desired Qualifications
- Flexibility to adapt to changing project requirements, priorities, and technologies while maintaining high document management standards.
- Experience conducting training sessions or workshops to educate team members on document control processes, software usage, and best practices.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant document management and communication software tools.
- Demonstrated leadership skills to lead document control on project coordinating initiatives, mentor junior staff, and coordinate activities within the document control team.
- Familiarity with relevant regulatory and industry standards related to document control, ensuring compliance and adherence to legal requirements.
- Any previous experience in the EPC or construction industry as a Project Coordinator
