V - OnSite Admin/Finance Coordinator

Location - Field (This is an ONSITE 95% TRAVELING position, not a position at the Corporate Office)
 
Position Summary
The Site Administrator, PowerFLX position will be responsible for the preparing daily reports, payroll, general administration and keeping management informed of all activities for the assigned PowerFLX project(s).
 
Position Responsibilities
  • Review and enter daily, all personnel Time Sheets before submitting to Payroll weekly.
  • Responsible for ensuring that the daily reports are prepared and distributed.
  • Request PO Log and AP report weekly; support code all PO’s per initial budget.
  • Prepare with site manager cash flow for the entire project and update it weekly.
  • Prepare and maintain cost to complete estimates
  • Issue reports to the Finance Manager for review and approval.
  • Admin will review with superintendents to make sure all hours have been applied to the right cost codes as per budget.
  • Office Supply Orders and Inventory
  • General Administrative Duties for all Superintendents
  • Assist as needed in new hire onboarding
 
 Minimum Qualifications
  • Bachelor’s degree in finance or related area.  
  • Proficient in the use of MS Office Suite programs.
  • Successful candidate will need to satisfactorily complete pre-employment drug screen and background check.  
  • Must have legal authority to permanently work in the U.S.

  • High level of initiative required.
  • Field or Construction Site experience
  • Aconex Software experience
  • Ability to work well in a team-oriented, collaborative environment is essential.
  • Technical competence including understanding software, hardware, networks, etc.
 
 
Essential Functions
Qualified candidate must be able, with or without a reasonable accommodation, to perform the following essential functions:
  • Travel to and working 90% on construction sites is required
  • Proficient in the use of a variety of general office equipment and skilled at typing at a speed necessary for successful job performance.
  • Knowledge of communication principles and practices.
  • Knowledge of principles of business letter writing and report preparation.
  • Knowledge of correct English usage, spelling, grammar and punctuation.
  • Knowledge of basic business arithmetic.
  • Ability to establish and maintain effective relationship with the public and co-workers to communicate effectively.
  • Ability to respectfully respond to requests and inquiries from the general public in person and over the telephone.
  • Ability to analyze and resolve problems in a logical and effective manner.
  • Ability to perform research, compile and analyze data, and write clear, concise and accurate reports on complex subjects.
  • Ability to simultaneously manage multiple job assignments.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • While performing the duties of this position, the employee is frequently required to sit, stand, walk, communicate, reach and manipulate objects.
  • The position requires mobility.
  • Duties involve moving materials weighing up to 10 pounds on a regular basis such as files, books, office equipment, etc., and may infrequently require moving materials weighing up to 40 pounds.
  • Manual dexterity and coordination are required while operating equipment such as computer keyboard, calculator, and standard office equipment.
  • Specific vision abilities required by the job include close vision and the ability to adjust focus.
  • Usual office working conditions: noise level in the work area is typical of most office environments with telephones, personal interruptions, and background noises.
