Job Scope:

A fast-paced, growing organization is looking for a dedicated and detail-oriented Administrative Assistant. This individual will support the President and several other leaders in providing personalized administrative and clerical support. This role will be responsible for supporting a variety of tasks related to business operations in a fast-paced and enjoyable office environment.


Responsibilities:

  • Receive phone calls, take messages and route correspondence in a timely and professional manner
  • Process requests and queries appropriately
  • Calendar management - Organize calls, meetings, and travel while managing subject, location and phone call information, including accurate phone number and time zone
  • Ensure upcoming client meetings for the next month and quarter are accurate and posted on appropriate calendars
  • Make necessary travel arrangements when directed using preferred Travel Agent (Concur)
  • Provide timely filing of documents for funds and management team
  • Check mail daily. Organize appropriate mail routing and arrange for pickup
  • Organize and submit expenses in a timely manner
  • Provide printing / binding as needed. Print presentation and bind accordingly with the appropriate tabs. Send via FedEx to clients
  • Office Duties: load / unload dishwasher; restock drinks/coffee and order daily or as needed; restock paper and supplies, maintain inventory and order when necessary
  • Partner with IT Department on any issues that may arise in company’s remote office


Requirements/Skills:

  • 1-3 years administrative experience
  • Great communication skills, both written and verbal
  • Intermediate skills in Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Expense reporting utilizing Tallie
