Responsibilities:

Under the direction of the HR and Operations Manager, a receptionist is responsible for the following:

  • Greets clients, visitors, and guests; determines the purpose of each person’s visit
  • Access reception software to check clients in, provide or receive needed paperwork, process and record any payments
  • Provide and monitor daily room schedule, help to keep it updated
  • Answers, screens, and directs phone calls; provide basic information
  • Coordinate messages between families, administrative staff and clinicians
  • Operate as an information hub, facilitating smooth, efficient and productive departmental services and agency operations
  • Maintain excellent customer service protocols consistent with PCDA’s brand values including warmth, focus, inclusive language and systems, influential and best in class work with colleagues, clients, client families, the greater community
  • Assist department managers with routine and specialized tasks as needed
  • Monitor office supplies and office equipment
  • ·Light cleaning of lobby area as needed
  • Participate in administration meetings and coordinate with other administrative staff to facilitate efficient and productive agency administrative operations

Position status:

Part time, approximately 15-25 hours per week.

The ideal candidate is able to cover additional shifts when mutually agreeable.

Schedule can be a little flexible, and subject to change.

Work location:

This is an on-site role in our Pasadena office.

Education and Experience:

Familiarity with Microsoft office applications desirable. Excellent verbal skills and accurate spelling and grammar skills in both English and Spanish required. Warm, focused and inclusive to PCDA’s client needs for accessible spoken and written communication. Strong customer service skills required. Ability to and expectation to work collaboratively with the department employees, agency leadership, and all administrative teams. Professional maturity, reliability and thoroughness in all job details. Ability to manage, prioritize and complete multiple tasks, utilize effective problem-solving skills, and work independently. Fingerprinting and TB clearance required prior to start of employment and employment is conditional based on criminal clearance by state and federal agencies.

Physical Requirements:

Physical demands include the ability to communicate clearly and effectively, ability to observe, move, adjust, and perceive environmental demands. Individuals require sufficient physical ability to work in an office setting, sit for prolonged periods of time, operate office equipment, including use of a computer keyboard; visually read and attend to data and text in small print format for prolonged periods; push, pull, lift, and/or carry light amounts of weight encountered in an office setting. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential job functions unless these accommodations will pose a financial or other hardship for the agency.

Job Type: Part-time

Pay: $17.50 per hour

Expected hours: 15 – 25 per week
