12 months, 8 hours/day

Grade 14, $15.63/hour

Purpose Statement

The job of Professional Development Registrar is done for the purpose/s of registering district personnel into the Professional Development database and maintaining the records and files; assisting district personnel with enrolling into courses; providing information to personnel regarding the courses and their transcripts; providing clerical support to the professional development director.

 

This job reports to the Professional Development Director

 

Essential Functions

Assists director in developing master class schedule for the purpose of ensuring course and class size requirements are accurate.

 

Performs enrollment and withdrawal activities for the purpose of complying with established requirements.

 

Interprets and inputs pertinent data into commercial and customized databases and personnel transcripts, for the purpose of ensuring accuracy of data.

 

Performs enrollment and withdrawal activities for the purpose of complying with established requirements.

 

Prepares documents and reports (e.g. enrollment information, course information, class schedules and completion credit reports, etc.) for the purpose of communicating information to Human Resources and Professional Development director.

 

Responds to questions from a variety of internal and external sources for the purpose of providing information and/or direction.

 

Verifies professional development data for the purpose of ensuring the accuracy of development hours reported to Human Resources and the Professional Development director, thus impacting salary and recertification.

 

Assists department in coordinating a variety of projects, functions and/or program components (e.g. meetings, classes and supplies, etc.)  for the purpose of completing activities and/or delivering services in a timely fashion.

 

Answers telephone system for the purpose of screening calls, transferring calls, responding to inquiries, and/or taking messages, emailing messages.

 

Greets individuals entering the building for the purpose of responding to inquiries; and/or directing individuals to appropriate location in accordance with established building security procedures.

 

Maintains a variety of manual and electronic documents, files and records (e.g. management reports, class schedules, class attendance sheets, course credit reports, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.

 

Performs general clerical functions (e.g. copying, faxing, data entry, filing, etc.) for the purpose of supporting office operations.

 

Schedules a variety of activities (e.g. appointments, building use, etc.) for the purpose of making necessary arrangements for assigned administrators and supervisors.

 

Assists Professional Development Director with the design and maintenance of district-wide survey and website and website design.

 

Maintains and organizes district survey data regarding professional development.

 

Other Functions

Performs other related duties as assigned (e.g. general clerical duties, answers telephones, back-up Administrative Assistant, etc.) for the purpose of ensuring the efficient and effective functioning of the work unit.

 

Job Requirements: Minimum Qualifications

Skills, Knowledge and Abilities

SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including software; preparing and maintaining accurate records; customer service; screening telephone calls; using pertinent software applications.

 

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: codes, regulations & laws related to student enrollment, graduation and transfer; business telephone etiquette; codes/laws/rules/regulations/policies; office practices; recordkeeping and record retention practices.

 

ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with a variety of data; and utilize specific, job-related equipment. Some problem solving may be required to identify issues and select action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: adapting to changing priorities; communicating with diverse groups of individuals; maintaining confidentiality; working as part of a team; working with detailed information; working with frequent interruptions; setting priorities; working under minimal supervision; working within time constraints; ability to read, write and communicate clearly in English.

 

Responsibility

Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; utilization of some resources from other work units may be required to perform the job's functions. There is a continual opportunity to have some impact on the organization’s services.

 

Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 85% sitting, 10% walking, and 5% standing. The job is performed in a generally hazard free environment.

 

Experience:  Job related experience with increasing levels of responsibility is desired.

Education:    High school diploma or equivalent.
