Overview
Provide support to the Cavalier Resort Complex Sales Team and VP of Sales and Marketing reporting to the Director of Hotel Sales in the responsibility of managing day to day sales workflow for the Complex – Embassy by Hilton, Historic Cavalier Hotel and Marriott Oceanfront. Coordinate inquiries, sales communications, and reports across the complex.
Responsibilities
Sales Support:· Catch and assign leads from Hilton (Delphi, Meeting Broker), Marriott (CI/TY, MILeads), third party (Cvent, HPN, CVB Partner Pipeline) in a timely manner and inputs into brand sales system when not automated. Ensures a unified sales response.
· In conjunction with Catering Coordinator, Check Marriott voicemail and email to ensure proper and timely follow up on all leads.
· Provide preliminary information to direct inquiries and capable of conducting walk-in site tours when sales managers are unavailable for all three properties.
· Track and maintain the inventory of all collateral and marketing pieces on a monthly basis.
· Send site alerts to participating properties to assist operations’ preparations; coordinate with respective operations teams, ensure show rooms are prepared and sales kits ready for the tour.
· Arrange and track VIP amenities for groups in house and site tour reservations.
· Liaise with Front Office and Accounting to ensure proper billing for VIP’s and Site Visits
· Birchstreet - for the complex hotels, generate purchase orders, and process invoices for all sales and marketing initiatives.
· Processes turnovers for all three properties ensuring complex contracts reach all necessary departments.
· Administrative duties including faxing, scanning, letters and marketing requests as directed by the VP of Sales and Marketing and DHS. At the VP of Sales and Marketing and DHS., provide support to Sales, Catering and conference planning teams to ensure efficiency in the booking/event planning processes.
· Assist in on-boarding/training new sales/marketing/catering/convention services associates of the complex.
Marketing Support:· Assist marketing department with coordination and reservation of hosted media stays at Resort Hotels, arrange amenities and communicate with operations departments.
· Coordinate and procure branded sales collateral, logo promotional items, client gifts and giveaways, and manage the inventory of such items on a monthly basis.
· Responsible for weekly, bi-weekly, and monthly reports to the DHS and VP of Hotel Sales as directed. To include:
o Weekly and monthly Group and Catering Pace reports for 3 properties, multi-year.
o Weekly and monthly Productivity reports for 3 properties.
o Weekly deposit reports.
o Weekly FBVR to DHS.
o Verify and update COG sheet.
o Submit monthly expense reports
Qualifications
