Administrative Assistant
Full-time | Monday through Thursday | 8:30 AM to 5 PM | Onsite – Not Remote
Are you an organized, focused, and energetic professional who thrives in a flexible environment? Our organization is looking for a full-time Administrative Assistant to support our Office Manager & Company Leaders while keeping our business running smoothly.
Responsibilities
Client Communication & Assistance
· Answer, screen, and forward incoming phone calls
· Greet and welcome clients or guests when they arrive at the office
· Provide basic and accurate information in-person and via phone/email
Administrative and Clerical Support
· Receive, sort, and distribute daily mail/deliveries
· Filing of job folders and related documents, maintaining organization in the filing system
· Ensure that incoming bills are entered for payment in QuickBooks, with all relevant details entered fully and accurately
· Assist in aging invoice tracking, including collections calls and emails to client about their unpaid invoice status
· Assist in maintaining company credit card records, including itemization and data entry
· Provide general administrative support for management, assisting in various tasks (as needed)
· Assist in vendor set-up paperwork, including insurance, W9s, and licensing (as needed)
· Assist with expense tracking and bank/credit card reconciliations (as needed)
Operations and Special Projects
· Ensure that Conference Room and front hallway are kept neat and tidy, straightening up chairs and conference table when necessary
· Monitor and maintain all office supplies, including (but not limited to) printer paper, toner, shipping and mailing supplies, coffee, trash bags, paper towels, ordering more supplies when necessary
· Assist in planning and organizing company events, such as employee training, company events, etc.
· Run work-related errands for management (as needed)
Requirements
· Previous work experience as a Receptionist, Front Office Representative, or similar role is strongly preferred
· Professional attitude and appearance
· Proficiency in Microsoft Word and Excel
· Hands-on experience with office equipment (e.g. computers, printers, fax machines, etc.)
· Customer service mindset
· Strong written and verbal communication skills
· Excellent multitasking and time-management skills, with the ability to prioritize additional tasks as they arise
Job Type: Full-time
Pay: $16.00 - $20.00 per hour
Expected hours: 32 – 40 per week
