Job Summary:

The HR Manager has a pivotal role overseeing Human Resources across three companies. This encompasses a broad range of responsibilities including recruiting, onboarding, handling benefit renewals, enrollment, and termination, as well as managing payroll processing, commission reports, and journal entries when needed. The role also involves managing employee relations and addressing issues related to disability, worker’s compensation, PFL, and FMLA. The HR Manager is responsible for training, developing policies and procedures, updating the employee handbook as needed, and overseeing HR audits. The position also works with peers and ensures compliance with employment regulations.

All of these tasks will be split with the existing HR manager. Tasks will be divided depending on each person's strengths.

Supervisory Responsibilities:

· Schedule and conduct regular performance reviews for employees, providing feedback, addressing concerns, and discussing any pay increases.

· Organize and deliver training sessions for both new hires and existing staff, ensuring they are well-informed about company policies, procedures, and their specific job roles.

· Resolve conflicts and issues between employees and/or management, including conducting meetings, preparing write-ups, and providing guidance to maintain a positive work environment.

· Collaborate with company management on various issues, offering insights and advice on policy updates, employee concerns, and HR strategies.

· Supervise the payroll process and manage employee benefits, ensuring accuracy in payroll execution, benefits enrollment, and processing changes or terminations.

Duties/Responsibilities:

  • Ensures accurate and timely payment for various roles, accounting for deductions and allowances.
  • Keeps the handbook current with company policies and legal requirements.
  • Oversees enrollments, open enrollment preparation, and changes in benefits such as medical, dental, and retirement plans.
  • Leads training sessions to maintain a respectful and legally compliant workplace.
  • Maintains a clean and orderly inbox, ensuring efficient communication flow
  • Handles the full cycle of employment, from recruitment and offer letters to termination processes.
  • Facilitates changes in payroll, coordinating with employees and supervisors for necessary adjustments.
  • Administers commission-based payments through payroll, based on individual or team performance.
  • Records payroll transactions in Sage for accurate financial tracking.
  • Updates and disseminates changes in policies to all staff effectively.
  • Engage in company-wide meetings to discuss strategies, updates, and collective goals.
  • Advises leadership on necessary policy changes and implementation strategies.
  • Oversees contributions and adjustments to 401k and 529 plans.
  • Analyzes and divides invoices for various employee benefits for accurate financial allocation.
  • Establishes tax withholdings and unemployment insurance in compliance with state regulations.
  • Supports the finance department with payroll-related data and reports.
  • Supplies necessary documentation and data for workers' compensation audits.
  • Prepare financial reports comparing profits to director salaries for internal review.
  • Undertakes additional tasks as needed, showing flexibility and adaptability in role.
  • Keeps informed about new laws and regulations, advising directors on compliance.

Required Skills/Abilities:

· Comprehensive knowledge of HR practices, including recruiting, onboarding, benefit administration, and payroll processing.

· Excellent verbal and written communication abilities to interact effectively with employees, management, and external parties.

· Strong organizational and time-management skills to handle multiple tasks and meet deadlines addressing and resolving workplace issues, employee conflicts, and operational challenges.

· Proven leadership skills to guide, motivate, and work with the existing HR team.

· Familiarity with employment regulations and compliance requirements, including FMLA, PFL,

worker’s compensation, and anti-discrimination laws.

· Proficiency in payroll processing, understanding commission structures, and making journal entries.

· Ability to develop, update, and communicate company policies and procedures, and provide necessary training.

· Strong analytical abilities for evaluating employee data, benefit costs, and performance reports.

· Proficient in HRIS systems (like iSolve, Accudata Data), Sage, and other relevant software for payroll and benefits management.

· Maintain confidentiality and exercise discretion in handling sensitive employee information.

· Interpersonal Skills: Strong interpersonal skills to build positive relationships with employees and management.

· Ability to adapt to changing situations and regulations in the workplace.

· Skills to participate in payroll-related audits and ensure compliance with external regulations.

· Knowledge of managing and administering various employee benefits programs.

Education and Experience:

· High School Diploma or GED equivalent required.

· Related associate degree or bachelor's degree preferred

· HR Certification preferred.

· Five years’ experience in and HR role

Physical Demands:

· Continual periods of sitting at a desk and computer.

· Frequently reaching for files and documents, bending to file papers, and twisting to answer phone calls.

· Extensive use of hands and fingers for typing, writing, and using a computer mouse.

· Occasionally lifting and carrying moderate weight (up to 25 pounds) of files, binders, and office equipment.

· Extensive use of close vision, distance vision, and the ability to adjust focus.

Work Environment:

· Primarily working in an office environment with standard lighting and temperature control.

· Some background noise from colleagues, phones, and printers, but generally quiet working conditions.

· Prolonged use of computers and other electronic devices.
