Role Description
This is a full-time, on-site role for an Administrative Assistant at the Milwaukee, WI office. This role is crucial for the smooth functioning of our office. With overall responsibility for day-to-day operations, the Administrative Assistant must be able to work effectively with other staff members, clients, and Wealth Advisors.
Responsibilities
Administrative Support
- Welcome clients at front desk. Assess needs, guide expectations and offer refreshments.
- Screen and direct phone calls.
- Schedule client meetings for Wealth Advisor team.
- Calendar management.
- Draft emails, client letters, and other communications.
- Prepare reports as needed.
- Handle mail and file documents.
Client Service
- Communicate with clients in person, in writing, and over the telephone.
- Follow up with clients as needed to make sure all paperwork is processed.
- Prepare Wealth Advisor team for review meetings.
- Complete post-meeting follow up tasks.
- Assist with daily client service needs such as new account openings, account transfers, contributions and distributions, and address updates.
- Assist with tracking of annual client reviews, RMD reporting, and marketing initiatives.
- Maintain and organize CRM data.
- Implement and follow current processes.
- Maintain Client Service Model objectives.
- Other duties as assigned.
Qualifications
- Prior experience in Financial Services is preferred.
- A genuine interest in serving and caring for other people.
- Self-Directed and resourceful.
- Professional demeanor and phone etiquette.
- Strong organizational and multitasking abilities.
- Excellent attention to detail and time management skills.
- Required Software: Proficiency in Microsoft Office suite.
- Preferred Software Knowledge: Wealthbox (CRM), eMoney
- FINRA registration preferred but not required.

Salary : $35,000 - $55,000
