Job Summary
This full-time Administrative Assistant will serve as the welcoming face of PAL's Jacksonville headquarters and provide administrative support to help our growing team stay organized and efficient. This role will report to the Marketing & Communications Specialist and play a hands-on role in day-to-day office operations. This is a fully in-office position at our Jacksonville headquarters. Essential Duties and Responsibilities
- Answer and direct incoming phone calls
- Greet and assist visitors
- Manage incoming and outgoing mail and deliveries
- Monitor and order office supplies, business cards, and name badges
- Keep shared spaces tidy and stocked (conference rooms, kitchen, supply areas)
- Set up and troubleshoot basic technology (conference room equipment, printers, projectors)
- Assist with the planning and execution of meetings and events, including ordering food (with sensitivity to allergies), logistics, and setup
- Support travel logistics and expense reporting for assigned leaders
- Assist with planning, ordering, and shipping merchandise
- Assist with vendor coordination (e.g., cleaning, maintenance)
- Help prepare workspaces and welcome materials for new hires
- Provide support with calendar coordination for leadership and internal meetings
- Identify opportunities to improve office efficiency and administrative workflows
- Assist with miscellaneous projects and provide backup coverage for executive administrative tasks
Requirements
- High school diploma or equivalent required; associate or bachelor's degree preferred
- Strong computer skills, including Microsoft Office (especially Outlook, Word, and PowerPoint)
- Excellent written and verbal communication skills
- Ability to communicate effectively with individuals at all organizational levels
- Professional, friendly, and proactive attitude
- Ability to maintain strict confidentiality when handling sensitive information
- Highly organized and detail-oriented
- Comfortable working in a fast-paced environment
- Willingness to learn and take on new responsibilities
