What We’re Looking For:
Profound Peace Psychotherapy Collective is seeking a part-time contracted Operations Coordinator to join our team. This position is ideal for a Chicago-based candidate, as occasional in-person meetings in our Hyde Park/Woodlawn office will be required. This is a 1099 contractor position to start, and the selected candidate will be responsible for managing their taxes and work schedule within the specified hours. There may be an opportunity for a long-term, part-time position based on fit and performance.
This role offers the opportunity to cross-train in preparation for our current Operations Coordinator's planned departure in August. This position primarily reports to the Operations Manager and the CEO. The contracted Operations Coordinator will work 10-15 hours per week, Mon-Fri, supporting our business's front and back end, including scheduling client calls, billing, insurance verifications, client support, and ensuring our staff are supported. Must be able to reply to emails and make calls during business hours in Central Time (Chicago, Illinois).
Administrative or customer support experience is a must. Knowledge of mental health or private practice is a plus. Must be attentive and organized. Training will be provided, but we need someone open to learning new platforms and willing to share ideas when things can be done better. Mistakes will happen as humans, but we need a natural problem solver. We respect honesty and teamwork above all else. We are looking for someone we can trust.
Duties/Responsibilities:
- Be the first point of contact for clients via email and phone (no in-person requirement at this time)
- Manage scheduling and ensure that clients have completed intake documentation
- Verify insurance benefits for new and established clients
- Submit insurance claims
- Manage intake documents and ensure EHR files are accurate
- Regular and reliable attention to assigned tasks is required as this is a remote position
- Passion for working with others (being collaborative) and helping our team members grow and learn
- Opportunities to manage social media and marketing
- Other duties may be assigned.
Qualifications and Skills:

- Experience with billing and insurance is preferred but not required
