Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our office. This role requires excellent communication skills, a strong sense of time management, and proficiency in various office software, including Google Suite. The Administrative Assistant will be responsible for managing schedules, assisting with employee and customer inquiries, and maintaining an organized office environment. The assistant may also be asked to assisted with emergency staffing needs and transportation to assist individuals the company serves.
Duties
- Provide exceptional customer service by addressing inquiries and resolving issues promptly.
- Manage calendars, schedule appointments, and coordinate meetings for team members as well as assist with company staff wide scheduling program.
- Assist with administrative tasks such as filing, data entry, and document preparation.
- Maintain organized records and files, ensuring easy access to important information.
- Utilize Google Suite applications to create documents, spreadsheets, and presentations as needed.
- Support the team with various tasks as a personal assistant when required.
- Communicate effectively with clients and staff to foster positive relationships.
- Perform other duties as assigned to enhance office efficiency.
Requirements
- Previous experience as a receptionist or in a similar administrative role is preferred but not required.
- Previous experience in home care or caring for individuals with disabilities preferred but not required.
- Strong customer service skills with the ability to interact professionally with clients and colleagues.
- Excellent time management skills to prioritize tasks effectively in a fast-paced environment.
- Proficient in calendar management and scheduling appointments efficiently.
- Familiarity with computerized systems and office software, particularly Google Suite applications and scheduling program Generations.
- Exceptional organizational skills with attention to detail in all aspects of work.
- Ability to type accurately and efficiently for documentation purposes.
- A proactive attitude towards problem-solving and a willingness to learn new skills.
