Responsibilities:
As an Office Administrator, you are an essential member of our administrative team. You will partner with our talented doctors and team members who are committed to providing excellent customer service to our patients. You will be responsible for managing the growth of your practice. Practice focuses include maintaining customer service protocols; holding accountability for the operations of your supported practice; ensuring maximum patient satisfaction; implementing plans to maximize patient care; and meeting or exceeding goals and objectives for your practice. The Office Administrator provides support to all Doctors and Team Members including training, policy, and procedure updates, and ensuring all HIPAA and OSHA guidelines are followed. The Office Administrator maintains the highest level of presentation, customer service, and compassion to all members of their team.
Other Key Responsibilities:
- Partner with Team Members to ensure schedule is full and confirmed
- Collect patient portion copayments at time of service
- Maintain accurate patient records and assist with payment procedures
- Create and present accurate treatment plans
- Maintain patient confidentiality through HIPAA compliance
- Document and update patient personal and insurance information in Open Dental
- Ensure compliance with all policies and procedures through quarterly one-on-one meetings with Team Members, and patient chart audits
- Perform monthly, production reviews with doctors accompanied by written plans for improvement, as applicable
- Stay informed and knowledgeable with state and local laws, regulations, and industry news in coordination with compliance
- Participate in the recruitment of Team Members for your practices
- Provide leadership for problem resolution to facilitate faster improvements and improved working relations
- Partner in performing weekly meetings with Doctors, Regional Managers and Team Members
- Engage and inspire Team Members to achieve maximum performance by modeling behavior that fosters a sense of integrity, ownership, teamwork, and personal commitment
- Ensure practice compliance, including but not limited to confidentiality, training, record keeping, creation, review, submission of reports, and preparation of policies and procedures
- Conduct yearly reviews and development plans for Team Members
- Provide outstanding written and verbal communications skills
