The Director of Event Operations will be responsible for the strategic planning, organization, and execution of all The Closing Institute events, including large-scale summits (1,000 attendees), workshops, and exclusive VIP training sessions. This individual will lead a team, manage budgets, coordinate logistics, and work closely with internal departments and external vendors to deliver world-class events that drive engagement, revenue, and client satisfaction.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; other duties may be assigned.
- Plan and execute multiple events annually, ranging from small training sessions to large-scale conferences.
- Coordinates the planning, development, implementation and support of The Closing Institute division.
- Manages planning, scheduling, budgeting and operational efficiency.
DUTIES AND TASKS
- Oversee all aspects of event operations, including venue selection, contract negotiations, vendor management, and on-site logistics.
- Ensure seamless event execution, from registration to post-event follow-ups.
- Work closely with marketing and sales teams to maximize event attendance and engagement.
- Manage relationships with speakers, sponsors, and vendors to enhance event quality and attendee experience.
- Identify, negotiate, and secure sponsorship deals that align with The Closing Institute’s brand and audience, ensuring long-term partnerships and event funding.
- Develop contingency plans to address potential event challenges.
- Direct the strategy, policy, development, financial management, sales & marketing, and operations of the Events department
- Develop effective programs and policy recommendations for successful events in the future
- Oversee budget development, review financial and accounting systems, cost projections, and personnel management
- Ensure proper communications between Event staff, Mentorship program staff, and Progressive Dental staff
- Build all event timelines and show flows
- Manage event design and elements from speakers
- Oversee and attend all events/conferences as primary lead for venue, banquet staff and production team (A/V, etc.)
- Complete performance appraisals for direct reports
- Contribute to company culture initiatives by overseeing Progressive Dental internal events
- Special projects or other related tasks and duties as assigned or requested
QUALIFICATIONS AND EXPERIENCE
- 5 years of experience in event planning and logistics, specifically in large scale events of 1,000 people
- Proven ability to secure, manage, and maintain relationships with event sponsors, ensuring successful partnerships and fulfillment of sponsorship agreements.
- Strong leadership skills with experience managing teams and vendors
- Excellent project management, organizational, and problem-solving abilities
Salary : $100,000 - $120,000
