Employment Position: Administrative Support Specialist
Location: Department of Energy (DOE), Washington, DC.
This position is for a full-time Administrative Support Specialist III onsite at the DOE’s Forrestal Building in Washington, DC, supporting the EHSS-1 leadership at the Office of Environment, Health, Safety and Security (EHSS).
Responsibilities:
- Lead for the daily oversight and coordination of calendar appointments and logistics for the Deputy Director for Environment, Safety and Health (ES&H). This includes the notification of participants and arrangement of facilities (conference rooms), any special IT equipment, or other logistical requirements for scheduled meetings, as well as coordination with EHSS, DOE, and external stakeholders to support scheduled meetings.
- Provides support in typing correspondence and/or reports, document distribution, filing, and other general office duties.
- Responsible for the creation and coordination of travel arrangements and itinerary planning as requested by the Deputy Director for ES&H.
- Serve as a back-up administrative specialist to provide executive support to the Director of EHSS.
- Coordinate and manage all actions as they relate to DOE policy actions from the Directives Review Board for the EHSS leadership.
- Task appropriate EHSS offices required actions and ensure timely response via REVCOM.
- Coordinate all REVCOM actions for EHSS-1 with leadership for approval and submission.
- Create, track, and process eDocs tickets for all REVCOM actions.
- Provide support and coordination for administrative tasks related to the Office of Inspector General, Government Accountability Office, Freedom of Information Act, and Privacy Act activities. Also serve as back-up to the EHSS-1 Coordinator on these tasks.
- Provide support for other tasks and duties as assigned.
Required Qualifications:
- Must possess at least a high school diploma or state equivalent and minimum five (5) years of administrative support experience.
- Experience in performing and expediting administrative, word processing, and report production support type tasks in a multi-person organization with an emphasis on responsiveness, timeliness, and accuracy.
- Experience in handling classified and sensitive documents, including marking, destruction, and reproduction.
- Must possess demonstrated interpersonal communications skills, have experience in managing inter- and intra-office incoming and outgoing correspondence, and have experience in filing and record management.
- Must possess demonstrated interpersonal communications skills necessary to interface with Department of Energy Headquarters and field personnel.
- Experience and demonstrated ability in state-of-the-art software in a Local Area Network (LAN) environment, including word processing, scheduling and calendar software, graphics, spreadsheets, record management and electronic mail.
- Must be detailed-oriented self-starter and have the ability to work independently.
- Qualified candidate must be a U.S. citizen eligible for security clearance. The candidate’s written consent to conduct a background check for the purposes of maintaining a security clearance will be required as a condition of employment.
