What are the responsibilities and job description for the Jobst Schedule Coordinator - Vascular - Full Time position at ProMedica?
POSITION SUMMARY
The Schedule Coordinator utilizes their education and experience to assist in maintaining provider schedules, which includes templates, amion, perfect serve, rounding, on-call, TTO, and coverages. The Schedule Coordinator works directly with the Office Manager and Director to address volume at multiple regional sites (10 ) to assist in determining leasing options, provider’s clinic vs surgical schedules, and administration time. The Schedule Coordinator will also manage the New Patient Work queue by working with our providers to contact new patient referrals to schedule the initial appointment with the appropriate provider (based on referral, location, availability, etc.). Schedule Coordinator will also be available to assist with other clinical work queues, educational opportunities for clinical staff, and support for clinical operations.
ACCOUNTABILITIES

1. Manage provider schedules for all metro and regional sites, including but not limited to templates, amion, perfect serve, rounding, on-call, TTO, and coverages, ensuring that we are providing adequate provider utilization at all of our regional and metro sites based on lease space and patient need.
2. Reviews metrics with Office Manager and Director to assist with decision making on provider schedules and rotations based on utilization, facility volumes, referral volumes, and specialty practices.
3. Uses professional phone skills and verbal communication to collaborate with external and internal customers including members of the interdisciplinary team completely new patient referrals. Will work with providers to evenly distribute new patients based on availability, referral, location, and specialty.
4. Clinical knowledge – critical thinking / clinical screening. Utilizes clinical judgment to systematically collect, validate, analyze, plan, implement, and evaluate care to provide efficient and effective care for new patient referrals. Will work with providers to ensure.
patients are getting their initial appointment in a timely manner.
5. Participates in Center of Excellence discussions to coordinate with other departments to promote services and provide support. This includes Aorta Center, Limb Salvage Center, Vein Centers, Dialysis Access Center, Pulmonary Embolism and Venous Thromboembolism Center, and Cerebrovascular Center.
6. Assists in educating clinical staff in scheduling for new patients, appropriate clinical workflows, and provides additional coverage when needed.
7. Perform other duties as assigned.
Job Requirements:
Education: High School Diploma or Equivalent
Skills: Candidate must be proficient in written, verbal, and visual communications and exhibit exceptional customer service abilities. Must be able to type well, and be proficient and accurate in computer use, including Microsoft Word, Outlook, Excel, and PowerPoint with basic graphic design skills. Requires excellent spelling, grammar, and communication skills. Ability to work independently and relate to a variety of individuals. Must maintain confidentiality on all business and clinical operations of the program. Must present in a professional manner, be creative, self-motivated, demonstrate excellent organizational skills, and be a team player. Demonstrates and promotes a strong commitment to achieving customer satisfaction.
Years of Experience: Minimum of 3-5 years of physician office/clinical experience and surgery scheduling experience.
Certification: Certified Medical Assistant (or equivalent), BLS
PREFERRED QUALIFICATIONS
Education: Graduate of an approved school of professional nursing
Skills: Ability to critically think from assessment data. Computer knowledge and typing skills. Years of Experience: Preferred experience in either an inpatient or outpatient surgical or vascular practice.
License: Current state of Ohio license as a Registered RN
Certification: BLS
