POSITION SUMMARY
Position is responsible for supporting the director in all day-to-day operational activities within the practice. Facilitates a team effort, creates a team-like attitude and approach to practice functions and operations. Collaborates with department administration and clinical team to ensure effective and efficient office operations.
ACCOUNTABILITIES
- Manages scheduling for physicians, medical students, mid-level providers and residents utilizing scheduling software.
- Collaborates with University of Toledo to coordinate and track scheduling changes for residents.
- Responsible for coordination and completion of onboarding and orientation for all students and residents.
- Prepares and distributes daily OR schedules.
- Department invoice management and maintain routine communication with vendors and internal accounts payable department
- Assist new and existing providers with the credentialing process and obtaining hospital privileges by:
- Frequently communicating with the medical provider, internal central verification office, and medical staff
- Obtaining case records, licensures, certifications, and personal documents
- Contacting past employers and references
- Ensure proper privileges are maintained by submitting required documentation
- Completes quarterly scribe audit for critical care team.
- Assists critical care team in processing of death certificates.
- Orders supplies and equipment for department.
- Functions as backup timekeeper for the department.
- Answers and follows up on phone calls/scheduling inquiries.
- Other duties as assigned.
Job Requirements:
- Education: High school diploma or equivalent
- Skills: Strong interpersonal skills with the ability to effectively interact with physicians, administration, and clinical staff. Computer literacy with ability to utilize Microsoft Office including but not limited to Word and Excel
- Years of Experience: Two years of documented experience in health care or physician office environment.
PREFERRED QUALIFICATIONS
- Education: Associates Degree

- Physical Demands: Must be able to move about the practice/department and between workstations. Must be able to understand directions (written and verbal), communicate and respond to inquiries. Must be able to occasionally lift or carry light equipment or supplies.
