The PHP Administrative Medical Assistant supports the Executive Director and Director of Operations with coordination of administrative and nursing functions for the Partial Hospitalization program. The role is responsible for coordination and facilitation of office administration and nursing functions.
Job Qualifications and Requirements :
- Answers phones, checks voicemail and distributes messages to staff.
- Follows emergency procedures and directives given, including communication protocols.
- Develops and maintains logs and spreadsheets and ensures that all records are complete, updated, and accurate and available to staff.
- Performs administrative tasks such as composing letters, data entry, filing, and faxing.
- Maintains an inventory of all office and nursing supplies; orders necessary supplies.
- Maintains supply of all administrative documents, clinical forms, and patient handbooks.
- Maintains office equipment and oversees coordination of equipment repair.
- Maintains practitioner schedule.
- Assists with the admission of new patients.
- Provides assistance in the coordination of patient case management needs.
- Takes client medical histories, performs and records vital signs.
- Obtains patient UDS tests.
- Assists with completing Nursing portion of admission process.
- Completes patient assessments and notes.
- Documents and updates Multidisciplinary Records.
- Inputs client related information into medical record systems.
- Transfers clients to Emergency room when appropriate.
- Assists with laboratory services and facilities routine tests as directed by MD and / or Nurse Practitioners.
- Maintains clean and properly stocked examination rooms and equipment.
- Writes, transcribes and reviews orders for non-controlled medications.
- Documents and updates Multidisciplinary Records.
- Inputs client related information into medical record systems.
- Performs any additional operational activities as requested or required by the Executive Director.
- Additional duties and responsibilities as assigned.
