PromptCare is seeking an experienced Accounts Payable/Payroll Representative to join our team. The AP is mainly responsible for supporting the Payroll and Finance department to successfully and efficiently process high volumes of expenses related to employees (both payroll and T&E) through collaboration with our Payroll Supervisor. Also responsible for processing select vendor payables as well as recording depreciation on fixed assets. The AP must have a solid work ethic, be highly organized, have a friendly disposition, and enjoy being in a supportive role. This is a hands-on supportive position, in a fast-paced environment. Reports to: Controller
Job Type: Full-Time, 40 hours per week, Monday – Friday, Hybrid 2 days in office
Location: Corporate Office - New Providence, New Jersey
Requirements
- Minimum education of a high school diploma or equivalent is required
- Must have at least one to two years of Accounts Payable experience (Business Central a plus)
- Minimum 1 year Payroll department experience (Paylocity a plus)
- Depreciation expense experience a plus
- Strong attention to detail is required
- Must have good PC skills, especially with the Microsoft Office suite of products: Word, Excel and PowerPoint
- Must have solid working knowledge of general office procedures
Job Responsibilities, included but not limited to:
- Review, approve, and process employee reimbursement requests submitted via Concur and Paylocity
- Review, approve, and process vendor invoices for assigned accounts via Dynamics Great Plains
- Calculate and record monthly depreciation on all capital purchases via Excel
- Ensure accuracy and completeness of all financial transactions
- Communicate with employees and vendors to resolve any discrepancies or issues
- Maintain accurate and up-to-date records of all financial transactions
- Assist with month-end and year-end closing processes as needed Integrate division Mission Statement and Credo into daily activities
- Participates in mandatory annual and bi-annual in-services and HIPAA training
- Participate in mandatory annual in-services
- Report any potential HIPAA infringements to the Privacy Officer
- Understand and follow PromptCare’s employee policies and procedures

While performing the duties of this job, the employee is regularly required to talk and listen, open filing cabinets and bend or stand as necessary. This position requires the ability to occasionally lift office products and supplies of 20 pounds but no more than 35 pounds.
