Promptcare is seeking a dedicated and experienced Team Lead, Intake Specialist. As a Team Lead, your role involves guiding a team of intake specialists to facilitate the seamless onboarding of new clients. Your primary responsibility is to oversee the daily admission of patients into PromptCare’s services, ensuring that all processes are completed accurately, promptly, and in full compliance with relevant laws, regulations, and company policies. This position requires strong clinical expertise, a focus on customer and patient service, and the ability to work collaboratively with a dedicated team of customer service representatives, insurance authorization specialists, and reimbursement personnel. Reports to: Director of Intake Development & Special Projects
Job Type: Full-time, 40 hours per week, hybrid schedule, Mon-Fri
Location: New Providence, NJ
Requirements
- High School Diploma or equivalent. Associate degree or some college preferred
- Previous experience working with insurance companies and healthcare professionals (physicians, nurses, etc.) is required
- Previous experience with specialty pharmacy patient admissions and customer service in a similar referral source-based practice setting is required
- IVIg case management experienced is strongly preferred
- Must have strong PC skills, especially the MS Office suite. Previous experience with the pharmacy order processing system, CPR , is a major advantage (although training will be provided)
Job Responsibilities, included but not limited to:
- Lead a team of intake specialists to ensure the timely and accurate intake of new clients
- Develop and implement intake processes and procedures to improve efficiency and accuracy
- Train and mentor new intake specialists to ensure they are equipped with the necessary skills and knowledge to perform their duties effectively
- Monitor and evaluate the performance of the intake team to identify areas for improvement and implement corrective actions
- Collaborate with other departments to ensure a seamless transition of clients from intake to service delivery
- Maintain accurate and up-to-date records of client information and ensure compliance with data protection regulations
- Provide excellent customer service to clients and ensure their needs are met in a timely and professional manner
- Obtains initial patient referral admission data and documents
- Notifies appropriate staff of all pending referrals and patient admissions
- Enters new patient information into the order processing system
- Generates and tracks forms (e.g., LMN, AOB, Consent for Treatment) until all pertinent documentation is received
- Consistently updates patient and clinical information in the order processing system
- Manages patients on the master log every day and forwards to appropriate staff
- Performs insurance verification and case management negotiations for patient onboarding
- Proactively researches and resolves issues impacting benefit coverage and revenue optimization
- Performs medical /pharmacy benefit verification requiring complex decision skills based on payer and process knowledge resulting in on boarding or case determined a “no go”
- Contacts benefit providers to gather policy benefits/limitations
- Coordinates and ensures services provided will be reimbursable (e.g., deductible amounts, co-payments, effective date, levels of care, authorization, etc.)
- Communicates with patients regarding Welcome and Financial call information
- Directly interfaces with external clients and obtains initial authorization
- Works closely with the billing department for re-authorizations or billing needs, etc.
- Accepts other duties as assigned

This position requires the ability to occasionally open filing cabinets, lift office products and supplies of 25 pounds but no more than 35 pounds.
