Job Description
Propstore is seeking a full-time Finance Manager that will oversee the US finance department. This role will be responsible for oversight of US office finance processes and responsibilities, including the production of monthly reporting packs - P&L, balance sheet and cash-flow statements.
The role will have ownership of accurate and timely consignor payments for the US office; and be responsible for daily client finance tasks including accurate processing of transactions; financial and tax reporting; and managing other administration tasks across the US business, including supporting the Head of Finance and managing the US finance and administration manager.
This is a key role to ensure the business and global finance team function effectively on a day-to-day basis, and ensure that the business is compliant with regulations and laws.
You will have excellent attention to detail, strong communication skills, and proven experience in managing your own time and workload in a busy, fast-paced environment. You will often be the first point of contact and escalation within the department, so will be confident dealing with colleagues and clients in a friendly, efficient and professional manner.
This position will report to the Head of Finance and the COO of the company.
SUMMARY OF RESPONSIBILITIES:
Finance Management
- Responsible for managing the US company accounts, ensuring all information held is accurate and up-to-date.
- Full ownership of US month-end close processes, including bank and credit card reconciliations, purchase and sales ledger maintenance, journal entries.
- Ensure sales and federal tax returns are submitted on time.
- Assist in the company’s stock taking and valuation processes.
Consignor Payments
- Set up and Manage consignor payments in the bank and via Cashpro – bulk and one off
- Preparation of regular consignor payment runs
- Financial account management for complex customer accounts
- Facilitate communication with Consignors and Consignments team about settlement status of payments; escalating unpaid consignors and overdue payment plans
Supplier Finance and Bank Account Management
- Responsible for overseeing accounts payable, instigating regular payment runs and ensuring supplier payments are up to date
- Liaise with the banking partner, including assisting with any foreign exchange requirements.
- Assist with Payroll management where required.
Financial Reporting
- Preparation of the monthly US accounts to allow tracking of income and expenditure against budget and prior year escalating issues immediately to the senior executive.
- Assist with preparation of the annual budget to include P&L and working capital projections for board sign off.
- Assist with preparation of cash flow projections for the US office.
- Managing annual audit process in conjunction with Group reporting requirements.
- Ensure all financial records are kept up to date, by way of manual or automated entry, fully complete and audited.
- Governance of the corporate finances and responsibility for fraud prevention and compliance with tax, regulatory and corporate responsibility requirements.
EXPERIENCE/SKILLS:
- CPA or CMA or similar accreditation
- Prior experience as a finance manager working in a SME organization in a small team
- High attention to detail with a high level of thoroughness
- Excellent numeracy skills
- Proactive and methodical approach to tasks
- Proficient with MS Office, including Word, Excel and Outlook
- Experience with Quickbooks preferable, or other accounts software, and other internal systems
- Excellent written and verbal communication skills
- Additional duties and Tasks as assigned
