Job Overview:

We are seeking a highly organized, adaptable, and proactive Executive Assistant to support our CEO and executive team. This is a unique opportunity within a growing startup, where your responsibilities will evolve as the company expands. The ideal candidate is a self-starter who thrives in a fast-paced, dynamic environment, embraces change, and is eager to learn and contribute in a variety of ways. This position has a variable component, allowing for adjustments in responsibilities and growth opportunities as our company's needs change.


Responsibilities:

  • Executive Support:
    • Provide comprehensive administrative support to the CEO, including calendar management, meeting scheduling, travel coordination, and expense reporting.
    • Prepare and edit correspondence, presentations, reports, and other documents, ensuring accuracy and professionalism.
    • Act as a key point of contact and liaison between the CEO and internal/external stakeholders, maintaining strong professional relationships.
    • Handle confidential information with the utmost discretion and integrity.
  • Communication & Coordination:
    • Manage and prioritize incoming communications (phone calls, emails, mail) for the CEO.
    • Draft and proofread internal and external communications on behalf of the CEO.
    • Facilitate seamless communication and collaboration between the CEO and other departments.
    • Plan, coordinate, and execute meetings, conferences, and company events, including agenda preparation, minute-taking, and follow-up on action items.
  • Office Management (with a Growth Mindset):
    • Maintain an organized and efficient executive office environment.
    • Manage office supplies, equipment, and vendor relationships.
    • Assist with special projects and initiatives, demonstrating flexibility and a willingness to take on new challenges.
    • Proactively identify areas for process improvement and efficiency gains.
  • Stewardship
    • Demonstrate a commitment to the company values.
    • Support initiatives that contribute to the well-being of others.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role, ideally within a fast-paced, evolving environment (startup experience a plus!).
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Outstanding written and verbal communication skills, with strong attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a willingness to learn new software and tools.
  • Excellent interpersonal skills and the ability to build rapport with individuals at all levels.
  • A proactive, solution-oriented approach to work, with a demonstrated ability to anticipate needs and take initiative.
  • A positive, adaptable, and collaborative attitude, with a genuine desire to contribute to a fun, innovative, and purposeful work environment.
  • A commitment to upholding the highest ethical standards and maintaining confidentiality.

Job Type: Full-time

Pay: $36,000.00 - $45,000.00 per year

Expected hours: 40 per week
