Our client, an UHNW Family Office, is seeking a highly organized and detail-oriented Aviation Operations Manager to oversee and manage all aspects of trip planning, aircraft scheduling, and crew coordination. This role involves ensuring seamless execution of flights while maintaining compliance with aviation regulations and managing interactions with flight operations third parties. The ideal candidate will bring solid travel and aviation experience, exceptional attention to detail, and the ability to work under tight deadlines.
Key Responsibilities
Trip Management
- Plan, coordinate, and manage all trip originations.
- Schedule aircraft and crew, ensuring optimal utilization and adherence to operational requirements.
- Monitor the real-time execution of trips and resolve any issues that arise.
Regulatory Compliance
- Ensure all crew documentation is current and compliant with regulatory standards.
- Serve as the primary liaison with third-party flight operations providers.
Accounting and Expense Oversight
- Review and approve invoices related to aircraft maintenance, fuel, and other operational expenses.
- Audit and process pilot and crew expense reports, ensuring accuracy and timely reimbursement.
- Collaborate closely with the accounting department for budgeting and financial reporting.
Communication and Coordination
- Maintain open lines of communication with pilots, crew, and support staff to ensure smooth operations.
- Provide regular updates to stakeholders regarding trip status and any operational changes.
Qualifications and Experience
- Solid travel and aviation industry experience, with a strong understanding of flight operations and logistics.
- Proven ability to manage multiple priorities in a fast-paced environment.
- Impeccable attention to detail, with a focus on accuracy and compliance.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities to effectively liaise with internal teams and third parties.
- Proficiency in accounting processes, including invoice review and expense reporting.
Preferred Skills
- Experience working with aviation scheduling software.
- Familiarity with FAA regulations and other relevant aviation compliance standards.
- Advanced proficiency in Microsoft Office Suite, especially Excel.
Work Environment
