Our client, a public agency, is seeking a temporary Executive Assistant to provide high-level administrative support to the General Manager and Assistant General Manager. This role requires a polished and professional individual with excellent communication skills, a keen attention to detail, and the ability to manage confidential and time-sensitive tasks efficiently.
Key Responsibilities :
Calendar & Scheduling : Manage schedules, coordinate meetings, and arrange appointments with public officials, department heads, and stakeholders.
Travel Coordination : Arrange travel accommodations, including flights, hotels, and transportation, ensuring smooth itineraries.
Administrative Support : Prepare and proofread documents, reports, and correspondence.
Meeting Preparation : Assist in preparing agendas, taking meeting minutes, and distributing relevant materials.
Communication & Coordination : Serve as a professional liaison between executives and internal / external stakeholders, maintaining a high level of discretion and professionalism.
Other Duties : Provide general administrative support as needed to ensure efficient daily operations.
Qualifications :
Proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior executives.
Excellent communication skills, both written and verbal.
Strong organizational skills and attention to detail.
Experience coordinating travel arrangements and scheduling.
Ability to interact professionally with public officials, department heads, and key stakeholders.
Intermediate proficiency in Microsoft Word and general office software.
Ability to handle confidential information with discretion.
