Summary: An Executive Assistant is a key administrative professional who provides high-level support to our Leadership team which includes our Co-CEOs, President of Michigan Offices, Director of Operations and Director of Brokerage Services. This role requires a strong sense of organization, discretion, and the ability to manage complex tasks in a fast-paced environment. The Executive Assistant often acts as a liaison between the CEO's and other departments, Office Managers, or agents ensuring smooth communication and operations. This position demands a proactive and highly efficient individual with excellent time management skills and the ability to handle sensitive information confidentially.
Job Duties:
- Calendar and Schedule Management: Manage the Leadership calendar, including scheduling meetings, appointments.
- Meeting Preparation and Support: Prioritize and coordinate meeting requests and ensure the meeting time is optimized.
- Organize and prepare materials for leadership meetings, and other high-level discussions.
- Take meeting minutes, track action items, and ensure follow-up on tasks and initiatives.
- Monitor and filter incoming emails, ensuring important messages are flagged and prioritized.
- Sort through non-urgent emails and categorize them for follow-up at a later time.
- Respond to routine inquiries on behalf of the CEOs or delegate to the appropriate team member.
- Handle sensitive and confidential information with the highest level of integrity and professionalism.
- Maintain discretion when dealing with executive communications and decision-making processes.
- Facilitate communication between Leadership and other Office Managers, staff and departments, ensuring alignment on organizational goals.
